The Interim Operations Manager is responsible for overseeing the day-to-day operational delivery of jobs across the platform, ensuring work is completed efficiently, to a high standard, and in a way that maximises job revenue.
The role focuses on job coordination, service quality, contractor management, invoicing accuracy, and complaints handling. The Interim Operations Manager will also support and oversee the Operations Assistant to ensure daily operational tasks are completed effectively.
While the role involves ensuring jobs are correctly invoiced and processed, responsibility for chasing outstanding payments sits outside of this role.
Key Responsibilities:
**Daily Job Operations**
*Oversee the lifecycle of jobs from booking through to completion.
*Ensure jobs are allocated to appropriate tradespeople based on skillset, location, and availability.
*Monitor active jobs to ensure timely completion and minimal disruption to customers.
*Resolve operational issues that may impact job delivery.
*Manage and Order materials for in-house team where appropriate.
**Service Quality**
*Monitor completed jobs to ensure work meets company standards and customer expectations.
*Address performance issues with tradespeople such as lateness, cancellations, or quality concerns.
*Maintain strong communication with contractors to ensure professional service delivery.
**Complaints Handling**
*Take ownership of customer complaints relating to job delivery or service quality.
*Investigate issues by reviewing job details and speaking with relevant tradespeople.
*Provide fair and practical resolutions while maintaining customer satisfaction and protecting the platform’s reputation.
*Identify recurring issues and implement improvements to reduce future complaints.
**Invoicing & Job Administration**
*Ensure jobs are accurately recorded and invoiced following completion.
*Review job details to confirm correct scope, pricing, and information before invoices are issued.
*Work with the relevant team to ensure invoices are processed correctly, while responsibility for chasing outstanding payments sits elsewhere.
**Revenue & Job Efficiency**
*Manage scheduling and job allocation to maximise job completion and revenue opportunities ie; quotes conversions and markup.
*Reduce failed jobs, cancellations, and wasted booking slots.Identify opportunities to improve job value and operational efficiency.
**Team Support & Coordination**
*Support and oversee the Operations Assistant in daily operational tasks.
*Delegate tasks where appropriate while ensuring platform updates and job records remain accurate.
*Maintain an efficient workflow across the operations team.
*Allow for future hires in recruiting operation assistants.
*Weekly reporting of feedback to senior management on weekly summaries and feedback.
**Operational Improvements**
*Identify inefficiencies in operational processes and suggest improvements where appropriate.
**Decision Authority**
*The Interim Operations Manager is trusted to make day-to-day operational decisions to ensure jobs run smoothly and customers receive a high level of service.
This includes authority to:
*Reallocate or reschedule jobs where necessary to ensure completion.
*Assign or change tradespeople based on availability, suitability, or
*Coordinate job revisits or corrective work where appropriate to resolve service issues.
*Manage and Order materials for in-house team where appropriate.
*Address performance concerns with tradespeople where service standards are not met and escalating to senior management.
*Escalation to senior management should occur where there are significant financial implications, reputational risks, unresolved disputes, or serious contractor conduct concerns.
