Hello!
I am looking for a highly organized Operations / Executive Virtual Assistant who can help manage meetings, track deliverables, and keep client work organized.
This role is more than a typical VA role. I’m looking for someone who enjoys organizing information, tracking projects, and helping ensure that work gets completed on time across multiple clients.
Responsibilities
• Attend some virtual meetings and review AI-generated meeting notes
• Extract action items and assign them to me or members of the team
• Organize tasks and deadlines in a project management system (Trello, Asana, Google Tasks, or similar)
• Draft follow-up
• Track work hours per client in Google Sheets or Excel
• Follow up with tea
• Maintain organized client folders and documentation in Google Drive
• Send reminders for upcoming deadlines and deliverables
• Help ensure that client work is completed and delivered on time
• Take ownership of operational coordination across projects
Tools We May Use
• Google Docs / Google Drive
• Zoom or Google Meet
•
• Google Sheets or Excel for tracking
• Trello, Asana, or similar project management tools
• AI tools that generate meeting summaries
Requirements
• Excellent written English
• Strong organizational and project management skills
• Ability to turn messy information into clear summaries and tasks
• Proactive communicator who follows up when things are missing
• Comfortable working with multiple clients and projects
Hours
Starting with 10–20 hours per week with potential to increase.
