THE ROLE
I am hiring a Full-Time Executive Virtual Assistant & General Operations Manager to provide high-level executive, communications, and operational support.
This is not an entry-level position. This role requires experience, independent execution, strong professional communication skills, and the ability to think strategically.
You will operate as an extension of me — representing the brand in written communication, managing inbound and outbound opportunities, coordinating operations, and protecting executive time.
This is a results-oriented position focused on growth, placements, partnerships, and operational excellence.

CORE RESPONSIBILITIES

EXECUTIVE & COMMUNICATIONS MANAGEMENT
Manage daily inbound communication across email, social media, and messaging platforms
Strategically respond to inquiries while nurturing and qualifying leads
Protect executive time through intelligent calendar management and prioritization
Maintain and refine automated response templates while personalizing responses
Represent the founder professionally and confidently in all written communications
LEAD MANAGEMENT & STRATEGIC PITCHING
Lead B2B pitching and outreach (podcasts, speaking engagements, partnerships, book signings)
Research aligned opportunities and initiate proactive outreach
Track all outreach and leads within structured Google Sheets or CRM systems
Conduct follow-ups and maintain relationship continuity
Assist in securing placements, contracts, and revenue-supporting opportunities
OPERATIONS & ORGANIZATION
Oversee project management and task coordination
Maintain organized documentation systems within Google Workspace
Input analytics, track KPIs, and maintain reporting systems
Document recurring FAQs and insights for future content development
Event posting, coordination, and follow-up management
Participate in virtual tea ---------- etings and execute action steps
MARKETING & MEDIA SUPPORT
Support email marketing campaigns
Draft and coordinate partner communications
Assist with social media content creation and light design
Support webinar and course engagement (future phase)
Assist with travel coordination when required
Analytics & Performance Reporting

REQUIRED QUALIFICATIONS
Minimum 4+ years experience supporting executives, founders, or growth-stage brands
Advanced to Mastery-level English proficiency (written and verbal)
Bachelor’s Degree or higher required
Demonstrated success in pitching, outreach, or partnership development
Strong executive presence in written communication
Exceptional organizational and systems-thinking ability
Ability to work independently with minimal oversight
Experience managing multiple high-responsibility priorities simultaneously
High emotional intelligence and professional digital communication skills
Must be a woman or woman identifying (woman-led company seeking aligned team structure)

WORK EXPECTATIONS
Monday–Thursday (32 minimum hours) OR Monday - Friday (40 hours maximum)
Responsiveness & engagement required between 6am–1pm PST (Seattle time) The other tasks are flexible with your time zone if you'd like.
24-hour advance notice required for time off
Consistent communication is mandatory
Failure to communicate for 48 hours during scheduled work time will result in termination
Integrity in time tracking and task execution is non-negotiable
This role is designed for experienced, self-led professionals who do not require micromanagement or frequent motivation.

COMPENSATION & PERFORMANCE STRUCTURE
$4–$5 per hour DOE
Performance bonuses tied to placements, contracts, and measurable growth outcomes
Efficiency bonuses tied to performance metrics
Loyalty-based pay increases
Overtime opportunities (pre-approved)
Holiday bonuses (after 3+ months)

Payment Details:
Paid twice monthly (2nd and 4th Friday)
