We are looking for a reliable and highly organized Personal Virtual Assistant to support the Chief Operating Officer (COO) with day-to-day administrative tasks. This role focuses on managing schedules, coordinating internal communication, and assisting with employee documentation. The ideal candidate is detail-oriented, proactive, and comfortable handling confidential information.
The ideal candidate is also someone who can take initiative, work independently, and efficiently manage tasks with minimal supervision.
Responsibilities:
Manage the COO’s calendar, schedule meetings, and coordinate appointments.
Arrange and send meeting invites and ensure participants are informed of any schedule updates.
Coordinate schedules for interviews and internal meetings when requested (no candidate interviewing required).
Assist with administrative tasks related to employee documentation, onboarding files, and internal records.
Organize and maintain employee documents, contracts, and company records.
Help prepare and track internal documents and reports.
Assist the COO with various day-to-day administrative and operational tasks as needed.
Assist with occasional technical or project-related tasks such as basic website updates (e.g., GoDaddy), simple design or document editing using tools like Adobe, and other tools that may be used for side projects.
Requirements:
Previous experience as a Virtual Assistant, Executive Assistant, or Administrative Assistant.
Strong organizational and time-management skills.
Excellent written and verbal communication skills.
High attention to detail and ability to handle confidential information.
Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
Ability to work independently and manage multiple tasks efficiently.
Nice to Have:
Experience supporting executives or founders.
Experience handling internal documentation or administrative support related to employees.
Experience working with remote teams.
Familiarity with website management, design tools, or other digital tools that can support small technical tasks and side projects.
