We are hiring an Operations Lead to run the day-to-day operations of the business so our founder can focus entirely on content creation and premium client delivery.
This is not a task-following VA role. You will be the operational backbone of the business — managing content shipping, lead response, client onboarding, and team coordination. Everything operational flows through you.
This role has a clear path to COO as the business scales.
RATES AND PROGRESSION:
- Starting salary: $800 - $1,200 USD/month depending on experience
- 90-day review: Salary increase for strong performers
- 12-month target: COO title and compensation package as team grows to 6-8 people
- This is a full-time long-term role — we are not looking for someone between jobs
WHAT YOU WILL DO:
Content Shipping (Priority #1)
- Receive edited videos from our video editor
- Quality check all content before posting
- Schedule and post content via GoHighLevel to TikTok, Instagram, YouTube, and LinkedIn
- Ensure weekly targets are hit: 1 YouTube + 5 TikToks + 5 Reels + 3 LinkedIn posts
- Chase the video editor if deliverables are late
- Nothing ships late. You own this.
Lead Response
- Respond to all inbound leads within 2 hours (DMs,
- Qualify leads and schedule calls with the founder
- Follow up with non-responders
- Update CRM pipeline in GoHighLevel at all times
Client Onboarding
- Send contracts and process payments via Pensight
- Set up client folders and welcome materials
- Schedule first sessions
- Collect testimonials after client wins
Calendar and Inbox Management
- Manage the founder's calendar
- Protect deep work and filming blocks
- Triage
- Flag urgent items immediately
Community Management
- Moderate Skool community (2,800+ members)
- Welcome new members
- Answer basic questions
- Flag complex questions for founder
Team Coordination
- Coordinate with video editor and 2 interns
- Assign tasks, set deadlines, review work
- You are the hub — everyone reports through you operationally
DAILY RHYTHM:
- First thing: Check all inboxes. Respond to urgent items. Flag for founder.
- Morning: Respond to leads. Schedule calls. Update CRM.
- Midday: Content shipping. Coordinate with editor. Post via GoHighLevel.
- Afternoon: Community management. Client admin. Team coordination.
- End of day: Send daily update to founder. No exceptions.
WEEKLY TARGETS:
- Lead response time: Under 2 hours
- YouTube posted: 1 per week
- TikToks posted: 5 per week
- Instagram Reels posted: 5 per week
- LinkedIn posts: 3 per week
- Daily founder updates sent: 5 per week
- Zero inbox: Daily
REQUIRED SKILLS:
- 3+ years experience as VA, EA, Operations Manager, or Project Manager
- Experience with GoHighLevel OR a comparable CRM (HubSpot, Salesforce, etc.)
- Experience scheduling and posting content to social media platforms
- Excellent written English — you will communicate directly with UK-based premium clients
- Proactive communicator — you flag problems before they escalate, not after
- Detail-oriented — nothing falls through the cracks, ever
- Comfortable managing a small team (editor + interns)
- Available for at least 4 hours overlap with UK timezone (GMT/BST)
NICE TO HAVE:
- Experience in coaching, education, or professional services
- Experience with Skool community platform
- Experience with Pensight or similar booking and payment tools
- Basic video editing skills as backup
- Experience working in founder-led businesses
