We are seeking an exceptionally organized and proactive Executive Assistant / Virtual Chief of Staff to support our leadership team. This is not your typical EA role — we need someone who can think strategically, operate with a high degree of autonomy, and keep the entire organization running like clockwork. ABOUT THE ROLE:
You will serve as the right hand to the executive team, acting as a force multiplier across the business. You will own our organizational systems, manage workflows, keep projects on track, and ensure nothing falls through the cracks. You will also support M&A-related activity, so familiarity with that process is important. Your job is to make our leadership team more effective by removing friction, increasing visibility, and driving accountability across the organization.
RESPONSIBILITIES:
- Own and manage the company's ClickUp workspace — build and maintain task structures, project boards, templates, SOPs, and workflows
- Ensure all tea
- Serve as the organizational backbone of the team — track open items, follow up on action items, and hold people accountable to deadlines
- Manage the executive's calendar, schedule meetings, and coordinate across time zones
- Prepare agendas, take detailed meeting notes, and distribute action items with clear ownership and deadlines
- Support M&A activities including organizing deal flow documentation, tracking due diligence checklists, coordinating with advisors and stakeholders, and maintaining deal timelines
- Create and maintain SOPs, process documentation, and internal wikis
- Draft, proofread, and send communications on behalf of leadership as needed
- Identify operational gaps and proactively suggest improvements to systems and processes
- Manage special projects from inception to completion, keeping leadership informed at every stage
- Coordinate across departments to ensure cross-functional projects stay on schedule
- Handle sensitive and confidential information with the utmost discretion
REQUIREMENTS:
- Proven experience as an Executive Assistant, Chief of Staff, or in a high-level operations/project management role
- Expert-level proficiency in ClickUp — you should know it inside and out (automation, dashboards, templates, views, etc.)
- Strong understanding of M&A processes — deal sourcing, due diligence, LOIs, closing timelines, or similar experience
- Exceptional organizational skills — you take pride in having everything documented, tracked, and structured
- Ability to manage multiple high-priority projects simultaneously without losing attention to detail
- Strong critical thinking skills — you don't just complete tasks, you think about why they matter and what comes next
- Excellent written and verbal English communication skills
- High level of discretion and professionalism when handling confidential matters
- Self-starter who can work independently with minimal supervision in a remote environment
- Reliable high-speed internet connection and a quiet, professional workspace
- Proficiency with Google Workspace, Microsoft Office, and other productivity tools
- Experience with project management, Slack, Zoom, or similar tools is a plus
