I’m looking for a highly organized, execution-driven Executive Assistant who can turn conversations into action and keep projects moving without constant supervision.
You’ll work directly with me to transform transcripts, ideas, and meetings into structured systems, documented processes, hiring pipelines, invoices, and AI tools that compound over time.
This is for someone who likes building order, holding leaders accountable, and finishing what gets started.
What You’ll Do
Track weekly projects, follow-ups, and action items — and hold me accountable
Turn transcripts and voice recordings into structured SOPs and systems
Keep Google Drive clean and organized (especially systems documentation)
Manage and maintain a transparent master to-do list
Draft proposal shells using past templates
Create reusable Custom GPTs/AI tools for pitches, proposals, and workflows
Collect contractor updates and turn them into clear, value-based client invoices
Ensure invoices are sent, tracked, and marked as paid
Source candidates (OnlineJobs.ph, Upwork, etc.)
Pre-screen applicants for English fluency and technical capability
Schedule interviews and manage the hiring pipeline
Draft NDAs and basic internal documents
Research and identify lawyers, consultants, and other resources as needed
Technical onboarding/offboarding of new contractors
Requirements
Steadiness-Compliance-oriented
>120 IQ
Exceptional written English (clear, structured, concise)
Strong ability to organize messy information into actionable systems
Experience creating SOPs, documentation, or process libraries
Comfortable screening candidates and evaluating communication quality
Highly proactive — you anticipate needs and close loops
Strong time management and follow-through
Familiar with Google Workspace and project management tools
Nice to Have
Experience supporting a founder or startup
Experience drafting proposals or client-facing documents
Familiarity with AI tools and prompt engineering
Experience managing contractors or remote teams
