This role is designed to support a top-producing, mission-driven real estate business based in Austin, TX. You’ll act as the backbone of operations — managing contract-to-close details, coordinating vendors, updating clients, and supporting listing prep — while also helping to grow the business through marketing and event coordination.
You’ll work directly with Jay Jay Tolentino (Realtor, Speaker, Coach) and gain inside access to a dynamic, purpose-based brand that blends real estate, education, and personal development.
Key Responsibilities (Approx. 60% of the Role):
Contract-to-Close Operations & Client Servicing
Handle contract-to-close (CTC) communication with buyers, sellers, lenders, and title companies
Send weekly updates to clients with showing feedback, internet traffic, and MLS reports
Follow up with vendors (photographers, inspectors, stagers, cleaners)
Manage Trello board, checklist tasks, and key dates (option period, appraisal, etc.)
Draft amendments and complete listing paperwork as needed
Coordinate key drops, lockboxes, sign installs, and home readiness details
Support agent with phone calls to clients when needed
Additional Responsibilities (Approx. 40% of the Role):
Marketing, Events & Content Coordination
Assist with flyers,
Support marketing for client events, community partnerships, and vendor collaborations
Help organize social media clips (e.g. from Opus Clips, Zoom, Fathom)
Maintain CRM tagging systems and ensure contacts are added to appropriate SmartPlans
Qualities We’re Looking For:
Strong written and spoken English
MUST HAVE AT LEAST 1 YEAR CTC (Contract-To-Close) EXPERIENCE!
Highly organized and proactive communicator
Tech-savvy (Google Suite, Trello, Zoom, KW Command, Canva, Opus Clips, Fathom)
Emotionally intelligent: can work with someone who is ADHD/neurodiverse
Willing to watch training videos and absorb brand style
Loves improvement, growth, and ownership of tasks

Remote option (Ex. considering Philippines-based)
Flexible with US Central Time overlap (ideally 4–8 hours/day)
Pay depending on experience and results
While 60% of this role focuses on contract-to-close operations and 40% supports marketing and contact management, the overarching 100% may be the most important long term — even though it won’t take up the most time on paper. I’m looking for someone who can begin to understand how all the pieces fit together: from listing launch protocols, to client communication systems, to marketing follow-through. This assistant will play a quiet but crucial role in helping me document and improve operations, build a training manual from our existing video library, and gradually help systematize the business. You don’t need to be an ops expert (although preferred) — but if you’re the kind of person who enjoys improving workflows and seeing the big picture, you’ll be set up to grow with the business and become an invaluable part of the team.
