Join an established USA-based company as an Executive Assistant supporting an Executive in a fast-paced, high-demand environment. This role requires a proactive “to-do” attitude—candidates must take initiative rather than wait to be told what to do. This is a full-time, hands-on role requiring real-time communication and active engagement throughout the day. Limited training will be provided, so the ideal candidate must be self-starting and resourceful.

The Executive Assistant will support the Executive with all assigned tasks, ensuring smooth operations across administrative, financial, HR, and project-related areas.

What You’ll Do:

Provide day-to-day support, manage calendars, meetings, travel, and daily priorities.

Draft and manage emails, proposals, and follow-ups; communicate professionally with clients, vendors, contractors, and employees across the company in real time.

Assist with billing, purchase orders, invoicing, and financial tracking.

Support HR tasks including onboarding and workers’ compensation documentation.

Monitor and update project boards, track deadlines, and organize files, templates, and SOPs.

Conduct data analysis and support special projects with a proactive approach.

Assist with any additional tasks assigned by the Executive, adapting to changing priorities as needed.

What We’re Looking For:

Proven experience supporting senior leadership as an Executive or Virtual Assistant.

Previous experience working with USA-based culture companies.

Proficient in Microsoft Office and Google Workspace tools.

Advanced Excel skills and financial/bookkeeping experience.

Exceptional organizational abilities and attention to detail.

Excellent written and verbal communication skills to interact professionally with both internal and external stakeholders.

Comfortable in a fast-paced, high-demand environment with real-time communication.

Proactive, resourceful, and able to anticipate needs before being asked.

Self-starter who can thrive with limited training and a hands-on, take-charge approach.
