Mission
Be the founder’s right hand. Understand how the business works, keep people accountable, and close open loops across departments so plans turn into finished work.
Key Outcomes (What Success Looks Like)
1. Closed loops & accountability
Tasks from founder / leadership meetings are captured with owner + due date and followed through until done or intentionally deprioritized.
2. Clean communication between founder & team
Team knows what is expected and by when; founder knows what is done, what is late, and why.
3. Founder leverage
Founder spends more time on high?leverage work and less on chasing people, checking reports, and re?asking for the same things.
4. Basic calendar & time protection
No missed internal meetings; key blocks for deep work and leadership meetings are protected.
Responsibilities
Immediate (First 90 Days)
1. Join (or review recordings of) key weekly meetings with department heads; capture all action items.
2. Maintain a simple master task tracker by owner / department / due date.
3. Proactively follow up before and on due dates: “Is this done? If not, what’s blocking it and when will it be?”
4. Summarize status for the founder daily or weekly: what’s done, what’s late, what needs his decision.
5. Check key recurring items (e.g. sales EOD, IT deadlines, ops checklists) and chase missing ones the same day.
6. Manage core internal calendar items: recurring meetings, 1:1s, and critical reviews.
Grows Into (After 90 Days, As Trust Builds)
1. Prepare a short Daily Brief for the founder (today’s meetings, priorities, decisions needed).
2. Propose priorities and adjust non?critical deadlines with tea
3. Identify patterns of missed commitments and suggest simple fixes (better checklists, clearer owners, changed cadences).
4. Take on small internal projects to improve how the team operates (better trackers, templates, SOPs).
Requirements
1. 3+ years as an EA / Ops Assistant / Project Coordinator for a founder or senior leader.
2. Strong English (written + spoken); comfortable asking direct, respectful questions.
3. Proven experience managing tasks and following up with multiple tea
4. Highly organized, detail?oriented, and willing to “harass the boss and the team” to keep commitments.
5. Willing to work US business hours (night shift in Vietnam).
Simple KPIs (We’ll Track Together)
1. % of tasks from leadership meetings captured with owner + due date.
2. % of those tasks completed on or before due date.
3. Number of “surprises” (missed deadlines the founder hears about late).
4. Attendance & on?time rate for key internal meetings.
