Overview
Role Summary:
The Executive Assistant provides high-reliability administrative and operational support to the CEO and CCO. This role is responsible for managing calendars, communications, logistics, and follow-through to ensure executive time and priorities are protected and executed effectively.
Key Responsibilities
Daily Responsibilities
Calendar Management & Meeting Coordination
- Schedule, update, and coordinate meetings, appointments, and events
- Manage scheduling conflicts and ensure calendars are accurate and up to date
Inbox Triage & Communication Support
- Monitor, organize, and prioritize executive inboxes
- Flag time-sensitive or high-priority messages
- Draft responses or prepare summaries as requested
Document Preparation & Writing
- Draft and edit
- Prepare internal and external-facing materials as needed
Expense & Administrative Support
- Track receipts and prepare expense reports
- Maintain organized records and documentation
Travel Arrangements
- Book flights, accommodations, and ground transportation
- Prepare clear itineraries and supporting travel details
Sales Support
- Aggregate call notes and ensure timely, organized entry into HubSpot
- Draft templated or custom follow-up
- Assist with procurement and security questionnaires by coordinating internal input, formatting responses, and managing submission timelines
Ad Hoc Research
- Conduct quick-turnaround research on vendors, tools, or topics
- Summarize findings clearly and concisely
Monthly / Ongoing Responsibilities
Follow-Ups & Action Item Tracking
- Track outstanding tasks and commitments
- Follow up with relevant parties to ensure timely completion
Vendor & Partner Coordination
- Manage routine communications with vendors and external partners
- Support basic coordination as requested by executives
Conference and Field Support
- Coordinate conference logistics (registration, travel, hotel, booth setup, collateral)
- Track speaking engagements, key meetings, and networking events
- Assist with post-event follow-up workflows
Required Skills
- Fluent written and spoken English
- Previous experience as an Executive Assistant or similar administrative role
- Strong proficiency with Google Workspace (Gmail, Calendar, Docs, Sheets, Slides, Forms)
- Strong proficiency with Slack
- Strong proficiency with PDF editing
- Excellent organizational and time-management skills
- High attention to detail and follow-through
- Ability to work independently and manage multiple priorities
- Comfortable supporting senior executives and familiarity with handling confidential information
Nice-to-Have Skills
- Previous EA experience supporting a technology or software-focused organization
- Familiarity with best practices for remote, distributed teams
- Conversational to fluent Spanish ( NOTED REQUIRED BUT HAS A GREATER CHANCE OF BEING HIRED )
- Any familiarity with Hubspot, Linear and Zendesk
