JOB OVERVIEW

Seeking an intelligent, highly adaptable, independent executive assistant that can act as a liaison between multiple areas within our small business. We are a DTC men's jewelry brand husband & wife duo with 2 current CSAs on our team that need to be managed. We are looking to scale our team & need help in both current day to day operations such as CSA question answering/SOP handling but also help building out & hiring more roles on our team such as editors, designers, etc. You also may be involved in communications with our 3PL warehouse, our manufacturers, & helping with our internal systems/operations to ensure our projects stay on track. This is not the job for you if you expect an easy job where you can coast & manage multiple other virtual roles. This is a challenging role where much of it will be "building the plane while we're flying it". We expect this position to be pivotal for our business & with your help, we can unlock the next level of scale. This role will own:
- CSA team management (answering all questions & escalations)
- Identifying SOP gaps
- Updating existing SOPs
- Writing new SOPs
- Enforcing SOP usage
- Assistance booking & scheduling meetings, appointments, etc.
- Hiring & onboarding new tea ---------- mbers
- Ongoing tea ---------- mber deliverables monitoring
- Helping management with various executive odds & ends that slip through the cracks
- Communication with 3PL warehouse
- Providing important updates to management
- Implementing customer surveys & maintain high satisfaction scores

Expected experience:

- Comfort self-teaching unfamiliar tools
- Ability to become the internal expert without hand-holding
- Highly organized & comfortable handling data/spreadsheets
- Project management
- Management skills

Ideal experience:

- Familiarity with Shopify
- Ability to safely implement CX-related automations
- AI automations & systems building
- Figma
- Marketing familiarity
