JOB OVERVIEW

Overview

We are seeking a highly organized, detail-oriented Executive Assistant to support the CEO in daily operations. This role is critical to keeping workflows efficient, communications organized, and projects moving forward. You will act as a central support hub across CRM management, invoicing, project coordination, and executive-level assistance.

Key Responsibilities

Provide day-to-day administrative support to the CEO

Manage and update CRM systems (data entry, task tracking, follow-ups)

Coordinate projects, deadlines, and internal workflows

Prepare, send, and track invoices and basic financial documentation

Organize emails, calendars, meetings, and reminders

Assist with document preparation, formatting, and file management

Communicate professionally with clients, vendors, and internal tea ---------- mbers

Identify inefficiencies and proactively suggest process improvements

Required Qualifications

Proven experience as an Executive Assistant or Administrative VA

Strong organizational and multitasking skills

Experience using CRMs, Google Workspace, and/or Microsoft Office

Excellent written and verbal English communication

High attention to detail and confidentiality

Ability to work independently with minimal supervision

Preferred Qualifications

Experience supporting U.S.-based executives

Familiarity with invoicing or bookkeeping tools (QuickBooks, etc.)

Background in real estate, professional services, or consulting environments
