Overview

Vector Global is seeking a highly organized, proactive, and digitally fluent Executive Assistant to support Kojo Annan, Principal and Chairperson of the firm.

The Executive Assistant will play a pivotal role in ensuring the Chairperson's time, communications, and projects are managed efficiently. The role combines executive support, workflow design, and relationship coordination.

The position will work directly with Kojo Annan on a day-to-day basis while also collaborating with the Director, Shanti Annan, to establish structured systems, maintain organizational discipline, and ensure alignment with Vector Global's broader strategic goals.

Key Responsibilities

1. Executive and Operational Support:

• Manage Kojo's inbox, calendar, and meeting schedule with precision and foresight.
• Provide daily reminders, briefings, and action updates to keep key goals on track.
• Coordinate follow-ups after meetings, ensuring all commitments are acted upon.
• Anticipate needs and prepare materials or background information in advance.

2. Workflow and Systems Setup:

• Collaborate with the Director to design and maintain efficient organizational systems (Google Drive, CRM, task trackers, reminders).
• Help structure digital files, establish naming conventions, and manage access controls.
• Maintain a clear overview of Kojo's active projects and key milestones.

3. Project and Action Tracking:

• Develop and update action logs by project, tracking deliverables and timelines.
• Flag approaching deadlines and ensure dependencies are resolved promptly.
• Prepare weekly summary reports highlighting progress, priorities, and bottlenecks.

4. Relationship and Contact Management:

• Build and maintain a structured contact database (e.g., HubSpot), organizing contacts by sector, geography, and relevance.
• Track introductions, follow-ups, and engagement history.
• Support relationship nurturing through scheduling, reminders, and notes.

5. Presentations and Communication Support:

• Assist with creating presentations, briefing notes, and pitch materials for investors or partners.
• Manage and track incoming speaking and media requests.
• Support light social media coordination and website updates.

6. Administrative and Financial Coordination:

• Process expense reimbursements and maintain organized expense records.
• Coordinate logistics, travel arrangements, and itineraries.
• Ensure contracts, NDAs, and other administrative documents are filed correctly.

Required Skills and Attributes:

• Exceptional organizational and time-management ability.
• Strong written and verbal communication skills.
• Proficiency in Google Workspace and modern digital tools.
• Self-driven, with excellent attention to detail and follow-through.
• Professional discretion and maturity when handling sensitive information.
• Confident working across multiple projects and priorities simultaneously.

Desirable Experience:

• Experience supporting a high-level executive, entrepreneur, or investor.
• Familiarity with CRM systems such as HubSpot or Airtable.
• Competency in Google Sheets, Slides, and document preparation.
• Basic design or presentation experience (Canva or PowerPoint).
• Background in investment, philanthropy, or strategic communications.

• Information, files, and systems are organized and easy to navigate.
• Priorities are clear, deadlines are met, and opportunities are acted upon promptly.

Ultimately, the Executive Assistant's success will be measured by the smooth operation of the Chairperson's office-creating the structure, foresight, and follow-through that allow him to focus fully on leading Vector Global and advancing its vision.
