Executive Assistant
Real Estate Firm & Restaurant Group (Owner Support) — Clear Long-Term Seat
| US Hours | WFH | $7–10 USD/hour, Depending on Experience |
We support a business owner who runs a real estate firm and a restaurant group. We're hiring a proven Executive Assistant who can run the owner's calendar, inbox, travel, and day-to-day priorities across both businesses so nothing falls through the cracks.
This is not an entry-level virtual assistant role. We need someone who has actually supported an owner or executive before, ideally in real estate, hospitality, or another fast-moving environment. If this would be your first Executive Assistant role, please do not apply.
This is a full-time role aligned to US Eastern business hours, 9:00 AM to 5:00 PM ET.
What You'll Do
Manage the owner's calendar across both businesses: scheduling, prioritizing, resolving conflicts, confirming meetings.
Manage the owner's inbox: triaging, drafting responses, flagging what needs direct attention, following up so nothing sits.
Coordinate travel: flights, hotels, full itineraries.
Prepare for meetings: agendas, notes, and tracking follow-up items to completion.
Coordinate lightly between real estate matters (deals, leases, property issues) and restaurant operations (openings, vendor issues, staffing needs).
Communicate with vendors and contractors as directed by the owner.
Keep contracts, leases, invoices, and files organized and easy to find.
Handle ad hoc research and admin projects as they come up. Priorities shift daily between the two businesses.
Who You Are
Proven Executive Assistant experience. Non-negotiable. You have supported an owner, executive, or senior leader before. No first-time EAs.
Excellent written and spoken English. Non-negotiable. You'll speak directly with vendors, tenants, and business contacts.
Real estate, hospitality, or restaurant exposure. Strongly preferred, especially in a fast-paced, owner-operated environment.
Rock-solid organization. You build your own systems and checklists by instinct. Nothing slips.
Discretion. You'll handle sensitive business and personal information and know what stays confidential.
Comfortable switching contexts fast. You can move between a real estate matter and a restaurant issue in the same hour without dropping either.
Tech-comfortable. Google Workspace and at least one task/project tool (Asana, Trello, Notion, or similar).
Schedule
Full-time, aligned to US Eastern business hours.
9:00 AM to 5:00 PM Eastern Time, Monday to Friday.
You must be able to work this schedule consistently.
Compensation
$7 to $12 USD per hour, depending on experience.
Budget allows for the top of this range for the right candidate. Do not undersell yourself.
Independent contractor engagement, paid on a regular recurring schedule.
Room to grow: as the owner's businesses scale, there's real room for more responsibility and pay for the right person. No formal ladder, but this is a long-term seat, not a short gig.
Tech You Must Already Have
Reliable computer and reliable high-speed internet (state your speed when you apply).
Noise-cancelling headset for calls.
Working webcam for video calls.
A quiet, dedicated home workspace.
How To Apply — Follow This Exactly. Applications That Skip a Step Are Ignored.
1) Subject line: the word "Indispensable" followed by your full name.
Example: Indispensable – Juan Dela Cruz
2) Record a 2–3 minute video introducing yourself. Any tool is fine — Loom, Google Drive, YouTube (unlisted), whatever you have. Keep it natural, talk to us like a real person. Do NOT read from a script. In the video, answer this: what is the most complex calendar, travel, or scheduling problem you've solved for an owner or executive, and how did you handle it? Paste a working link in your application (make sure sharing/viewing is turned on).
3) State your internet speed and confirm you can consistently work 9:00 AM to 5:00 PM Eastern Time, Monday to Friday.
We read every application that follows all three steps.
