We are looking for a dedicated and self-motivated Executive Assistant to join our team. Executive Support:
Manage and optimize the CEO’s calendar, appointments, and travel arrangements.
Prioritize and filter incoming communications,
Take meeting notes and ensure action items are clearly documented and followed up.
Maintain confidentiality with sensitive information and handle tasks with discretion.
Proactively assist in decision-making by providing context, reminders, and prioritization help.
ADHD-Friendly Systems & Support:
Implement and maintain customized workflows and productivity systems that support ADHD-friendly time and task management.
Provide gentle structure, reminders, and follow-up systems to keep high-priority items on track.
Help reduce overwhelm by organizing tasks into digestible steps and managing deadlines.
Operations & Team Coordination:
Coordinate with team members across departments to streamline communication and task assignments.
Track project progress and ensure tasks are moving forward within timelines.
Organize documents, reports, and files to keep systems updated and easy to navigate.
Monitor and optimize short-term rental processes (e.g., check-in/check-out protocols, cleaner schedules, guest communication, etc.).
Requirements
Proven experience as an Executive Assistant, Personal Assistant, or in a similar administrative role, preferably supporting C-level executives.
Background in short-term rental operations (e.g., Airbnb, Vrbo, or property management systems), with a working knowledge of booking logistics, guest communication, and turnover coordination.
Excellent English proficiency—both written and spoken—with the ability to communicate clearly and professionally across a distributed team.
Demonstrated ability to support executives who thrive with structure, including managing schedules, breaking down complex tasks, and providing consistent follow-through.
Skilled at working with individuals who have a short attention span, helping reduce overwhelm by organizing tasks into clear, actionable steps.
Strong time management, organizational, and prioritization skills with the ability to handle multiple tasks simultaneously.
Highly detail-oriented with a strong sense of responsibility and follow-through.
Comfortable working independently in a remote environment, with minimal supervision.
Proficient in tools such as:
• Google Workspace (Docs, Sheets, Calendar, Gmail)
• Project management platforms (e.g., Monday, Asana,etc)
• Team communication tools (e.g., Slack, whatsapp, etc)
• Ability to handle confidential information with discretion and professionalism.
• Proactive, solution-oriented, and capable of anticipating needs before they arise.
• Flexible and adaptable in a fast-paced, constantly evolving environment.
