Virtual Finance & Data Assistant (Healthcare)

Inner Balance Health is expanding, and we are seeking a highly organised and detail-driven Virtual Finance & Data Assistant to help oversee our clinic’s financial reporting, KPI tracking, and business performance analytics.
We are a fast-growing physiotherapy & Pilates clinic in Darwin, Australia - and this role will directly support the owner with data accuracy, financial organisation, and insights that guide weekly and monthly business decisions.
Role Overview
You will be responsible for maintaining, analysing, and presenting financial and operational data in a clean, accurate, and easy-to-understand format. Your work will help us track clinic performance, explain expenses, and support strategic growth.

Key Responsibilities
Financial Analysis & Reporting
Review the clinic’s Profit & Loss statements each month
Organise and categorise the P&L into clear, understandable sections
Provide a simple monthly explanation of financial performance
Organise and maintain the Balance Sheet, with simple summaries
Build and update a Rolling Break-Even Analysis (weekly/monthly)
Prepare a monthly Expenses Summary, categorised and visualised
Maintain a monthly Income Trend Report, broken down by service type (Physio, Pilates, Massage, EP, etc.)
Identify trends, inconsistencies, or red flags in financial data
KPI Tracking & Business Metrics
Track weekly and monthly clinic KPIs
Compare current performance to past periods and targets
Provide insights that support decision-making
Assist in creating dashboards or visual reports
Data Accuracy & Quality Control
Cross-check data between Cliniko / Xero /
Identify and correct data discrepancies
Maintain clean, organised spreadsheets and financial files
Payroll
Skills & Experience
Experience in bookkeeping, accounting, or financial assistance
Strong Excel/Google Sheets skills (pivot tables, simple formulas, charts)
Ability to analyse data and communicate it clearly
Excellent organisational and documentation skills
Healthcare or service-based business experience is a bonus
Experience with Xero is an advantage but not essential
