About the Client
Our client is a veteran-owned, locally operated moving and portable storage company serving their city and surrounding areas. They provide residential and business customers with flexible moving and storage solutions, known for their personalized service, transparent pricing, and strong community involvement. The business is growing and the owner needs a reliable VA to take the administrative and sales support layer off his plate so he can focus on relationship-building, business development, and strategic growth.
Role Overview
We are looking for an Executive Virtual Assistant who can own the day-to-day administrative, CRM, and sales support functions of the business. This is not a task-executor role. We need someone who is proactive, organized, and can operate with minimal oversight while maintaining a high standard of accuracy and responsiveness.

Key Details
Part-time remote role
10–15 hours per week
Eastern timezone (This is a graveyard shift for PH applicants)

Key Responsibilities

Inbox & Email Management
Manage and triage Outlook inbox daily
Draft and send emails on behalf of the owner
Ensure timely responses and follow-through on all communications

Calendar & Appointment Scheduling
Manage calendar and coordinate appointments
Schedule meetings and ensure no opportunities fall through the cracks

CRM Management (Salesforce)
Keep Salesforce updated and accurate at all times
Track leads, follow-ups, and pipeline activity
Maintain CRM discipline and data cleanliness

Sales & Outbound Support
Assist with proposal preparation
Support outbound email campaigns and follow-up sequences
Help improve overall outbound communication consistency

Social Media & Marketing Support
Prepare and schedule social media content across LinkedIn and Meta
Conduct light research to support marketing efforts

Additional Support
Contact and database management
Meeting preparation and coordination
Track open action items and ensure follow-through
Document formatting and general coordination
Help implement and organize Slack workflows

What Success Looks Like at 90 Days
Inbox is managed daily with faster response and follow-up times
More booked meetings and appointments as a result of better follow-through
Salesforce is clean, accurate, and being used as an active pipeline tool
Outbound communication is consistent and on schedule
The owner is spending more time on strategic growth and relationship development

Requirements
Hands-on Salesforce experience — you understand pipeline management and CRM discipline
Strong written and verbal communication skills
Experience with Outlook and Microsoft 365
Social media experience across LinkedIn and Meta
Proactive and independent — you take ownership and don't wait to be chased
Strong organizational discipline with high attention to accuracy and detail
Experience with Constant Contact is a plus
Familiarity with Slack is a plus
