Full-Time Virtual Accountant / Operations Assistant
About Us:
We are a small but fast-growing specialty RTD coffee & tea manufacturing company with operations in the U.S. and the EU. We use Zoho Books and Zoho Inventory for accounting, invoicing, batch tracking, manufacturing, logistics, and Amazon/Shopify integrations.
We are looking for a highly experienced Zoho specialist who can take ownership of our system, clean up our existing setup, and run day-to-day accounting + back-office workflows.
Familiarity with Zoho’s new AI-powered tools and the ability to help implement these features is a strong advantage.

Role Overview
You will manage and optimize our Zoho Books & Zoho Inventory environment, including:
• Daily accounting, reconciliations, and vendor/customer management
• Purchase orders, bills, invoices, credit notes
• Inventory tracking (batches, kits, assemblies, transfers)
• Order-to-fulfillment workflows (including Amazon EU & Shopify)
• Manufacturing and cost-of-goods workflows
• Monthly closing and reporting
• General business admin tasks (as needed)
• Assisting with setup and adoption of Zoho’s AI automation tools across Books, Inventory, and related apps

Key Responsibilities
Zoho Books
• Maintain Chart of Accounts
• Create and manage bills, invoices, credit notes
• Reconcile bank feeds and merchant accounts
• Track ACH, credit card, Amazon payouts, and Shopify payouts
• Create financial reports (P&L, balance sheet, cash flow)
• Assist with tax documentation (VAT/DPH, US sales tax, OSS filings)
• Configure and use AI-powered categorization, automation rules, and anomaly detection
Zoho Inventory
• Manage all SKUs, bundles, and assemblies
• Correct and reconcile inventory discrepancies
• Oversee stock adjustments and warehouse transfers
• Manage batch numbers/lot tracking
• Monitor reorder levels, vendor lead times, purchase orders
• Manage Amazon FBA inventory sync across multiple EU marketplaces
• Integrate Shopify & fulfilment apps when needed
• Implement AI-supported demand forecasting, automation rules, and workflow intelligence where applicable
Process & System Improvement
• Clean up and re-organize our current Zoho configuration
• Build efficient workflows: order ? invoice ? fulfillment ? accounting
• Create documentation and SOPs
• Recommend improvements to streamline operations
• Help identify areas where Zoho’s AI tools can reduce manual work

Requirements
• 3+ years experience with Zoho Books & Zoho Inventory
• Solid accounting background
• Experience with manufacturing workflows, assemblies, BOMs, or food/beverage preferred
• Experience with Amazon Seller Central & Shopify is a big plus
• Knowledge of Zoho’s AI features (Zia, automated categorization, AI-based workflows, anomaly detection)
• Excellent English communication
• High accuracy and attention to detail
• Strong initiative and ability to work independently
• Stable internet + ability to work in our PST / CET overlap hours
