Remote | Full-Time | Long-Term Opportunity
About the Role:
We’re a costume company selling Halloween heroes and party outfits into retailers like Walmart and Target – and we need a super-organised VA to keep the wholesale side running smoothly. You’ll be behind the scenes making sure products, POs and data are in the right systems so buyers can actually order the fun stuff. This is a full-time remote role (40 hours per week) with strong UK time overlap preferred.
What You’ll Do:
- Maintain and update product/range trackers, price lists, item set-up sheets and basic SKU/UPC lists
- Pull, clean and organise sales, stock and performance reports, and support with light competitor/product research
- Manage purchase orders and item data in ERP and retailer portals (e.g. Retail Link, Item360, Spark)
- Track product samples and support creation of quote sheets, sample tags and customer information packs for key retailers
- Upload artwork, size, packaging and labelling details into approval tools and retailer systems
- Help create and maintain production and sampling critical path trackers, consolidating weekly factory updates
- Maintain trackers for factory costs, BOMs, sizing and packaging changes
What We’re Looking For:
- Experience in Admin/VA/Sales Support – At least 2 years in a Virtual Assistant, sales support, e-commerce, or similar role
- Strong Excel/Sheets Skills – Confident with sorting, filtering, basic formulas; pivots/VLOOKUP are a plus
- Excellent Attention to Detail – Accurate data entry, careful checking of numbers, names and dates
- Highly Organised – Able to manage multiple tasks, customers and deadlines without dropping the ball
- Fast Learner – Happy working with structured processes and new online tools/portals
- Good English Communication – Clear written and spoken English; able to follow instructions and provide concise updates
- Must have access to a personal computer/laptop and reliable high-speed Wi-Fi
Bonus Skills (Not Required, but a Plus!):
- Experience supporting wholesale or key account teams (e.g. working with large retailers or distributors)
- Experience with retailer or marketplace portals (e.g. Amazon Vendor/Seller Central, Walmart/Retail Link, Target/Spark, etc.)
- Background in costumes, apparel, or seasonal consumer products
Salary & Benefits:
- 25,000 – 30,000 PHP per month (depending on experience)
- 13th-month pay
- 20 days paid holiday (pro-rata)
