About the Role
This full-time role focuses on caregiver scheduling, client coordination, prior authorizations, eligibility verification, and high-quality phone support using WellSky.
This position is critical to ensuring clients receive uninterrupted, authorized care and that caregivers are scheduled accurately and efficiently. The ideal candidate has deep experience with non-skilled home care workflows, understands payer requirements, and communicates confidently and empathetically with clients, families, caregivers, and internal staff in fluent English.
Key Responsibilities
Scheduling & WellSky Management
• Manage daily scheduling using WellSky (minimum 2+ years hands-on experience required)
• Create, modify, and maintain patient/client schedules with high accuracy
• Handle last-minute schedule changes, cancellations, and call-outs efficiently
• Coordinate schedules between patients/clients, caregivers, and internal teams
• Ensure schedules comply with internal policies and operational requirements
• Maintain accurate documentation and notes within WellSky
• Manage client prior authorizations and approvals, ensuring required services are authorized before scheduling
• Verify and monitor client eligibility for services, identifying issues proactively and escalating when needed
• Assiting owner with other company-related tasks throughout the week to ensure efficiency
• Weekly meetings with owners to discuss performance, pain points and future growth
Phone & Customer Service Support
• Answer inbound calls promptly and professionally
• Serve as a first point of contact for patients/clients, caregivers, and partners
• Address scheduling inquiries, confirmations, and basic service questions
• De-escalate concerns calmly and escalate issues appropriately when needed
• Make outbound calls for schedule confirmations, updates, and follow-ups
Required Qualifications (Must-Have)
• 2+ years of direct experience using WellSky within a non-skilled home care environment (non-negotiable)
• Proven experience scheduling caregivers for personal care / non-skilled home care services
• Strong background in phone-based customer service with clients and caregivers
• Excellent spoken and written English (near-native or native-level fluency)
• Ability to manage high-volume scheduling and frequent last-minute changes
• Strong attention to detail, documentation accuracy, and follow-through
• Reliable high-speed internet, quiet workspace, and professional phone setup
