I run two established UK digital businesses providing WordPress websites, ongoing website support and a white-labelled GoHighLevel CRM.
A large proportion of our approximately 100 recurring clients are independent gyms and functional fitness businesses, although we also work with clients across several other industries.
I am looking for a proactive and dependable Website, CRM & Client Success Specialist to work with me for approximately 30 hours per week.
This is a varied, hands-on position. It is not purely website design, development, CRM administration, customer support or general virtual assistance. You will work across all these areas, helping complete projects, support existing clients and keep day-to-day work organised.
We currently have an immediate backlog of website projects and CRM work. Once this is under control, the role will increasingly involve proactively supporting and adding value to our existing client base.
## Website responsibilities
Your website work will include:
* Building template-based WordPress websites.
* Building new pages using existing designs and brand styles.
* Working primarily with the Salient theme and WPBakery.
* Redesigning and improving existing websites.
* Creating SEO rich website copy
* Changing layouts, colours, typography, imagery and other design elements.
* Uploading and formatting pages, blog posts, team members and other content.
* Completing ongoing website changes requested by existing clients.
* Checking all work carefully on desktop, tablet and mobile.
* Testing forms, buttons, links and tracking.
* Preparing and launching websites.
* Assisting with redirects, analytics, Search Console, domains and routine DNS changes.
* Investigating WordPress and hosting problems before escalating them.
You must have a good eye for design. You will not always receive a completed Figma design showing exactly what to build. Sometimes you will need to take an existing website, reference examples or loose instructions and make sensible visual decisions yourself.
## Design and image responsibilities
Your design work may include:
* Editing, resizing and improving images supplied by clients.
* Creating or adapting simple website graphics.
* Using Photoshop, Figma or equivalent design software.
* Using ChatGPT and other AI tools to generate or improve suitable website imagery.
* Maintaining consistency with an existing website or brand.
* Recognising when specialist design or illustration work should be escalated.
You do not need to be a high-level brand designer or illustrator, but you must be comfortable making everyday design decisions without needing constant direction.
You must already have access to Photoshop, Figma or another suitable professional image-editing and design tool.
## CRM responsibilities
Our CRM platform is a white-labelled version of GoHighLevel.
Your CRM work may include:
* Creating and managing GoHighLevel sub-accounts.
* Updating users, permissions and account settings.
* Building and editing forms and calendars.
* Creating and updating pipelines and opportunities.
* Building and testing straightforward workflows.
* Updating emails, SMS messages, triggers and workflow actions.
* Managing custom fields, tags and contact lists.
* Cloning assets between accounts.
* Testing automations and identifying problems.
* Handling routine CRM requests from clients.
* Organising and segmenting our own customer database.
Direct GoHighLevel experience is strongly preferred. Experience with another CRM and marketing-automation platform may be considered if your other skills are strong and you can demonstrate a clear ability to learn new systems.
Complex API integrations and advanced custom development will be handled separately.
## Client success responsibilities
An important part of this role will be helping us provide more proactive value to our existing clients.
Your responsibilities will gradually include:
* Reviewing existing client websites using an agreed audit checklist.
* Identifying outdated content, broken elements and potential improvements.
* Preparing straightforward website and CRM recommendations.
* Producing and sharing simple website, analytics or CRM reports.
* Checking forms, calls to action and important customer journeys.
* Keeping accurate client information inside GoHighLevel.
* Segmenting clients by business, industry, service and account status.
* Maintaining separate email lists for fitness clients and other client groups.
* Helping prepare and send monthly client news, advice and service updates.
* Drafting useful client emails using ideas and information provided by the business owner.
* Recording recommendations, communication and follow-up actions.
* Passing relevant commercial opportunities to the business owner.
This is not a cold-sales position. The purpose is to strengthen existing client relationships, provide visible ongoing value and ensure useful opportunities are not missed.
Clients will be reviewed on a manageable rotating schedule rather than every client receiving a full manual audit each month.
## Organisation and communication
You will also be expected to:
* Turn requests and instructions into clearly organised tasks.
* Keep task statuses and deadlines up to date.
* Identify missing information before starting work.
* Ask focused questions when instructions are unclear.
* Follow up with freelance designers and developers where required.
* Check work returned by freelancers before it reaches a client.
* Document repeatable processes as you learn them.
* Provide concise updates covering completed work, priorities and blockers.
* Eventually respond directly to straightforward client requests.
Slack will be our main channel for day-to-day communication.
You must be comfortable using Slack, remain responsive during agreed working hours and use the appropriate channels to provide updates, ask questions and report blockers. You will be invited to our Slack workspace.
The purpose of this role is to complete work and reduce interruptions. I need someone who investigates problems, thinks about the next step and communicates clearly—not someone who waits silently for constant instructions.
## Essential skills and qualities
* Commercial WordPress experience.
* Experience using WordPress page builders.
* A strong eye for web design, spacing and responsive layouts.
* A good understanding of onsite technical SEO
* Confidence making website changes independently.
* Experience with Photoshop, Figma or equivalent design software.
* GoHighLevel or comparable CRM/automation experience.
* Excellent written English.
* Strong organisation and attention to detail.
* Ability to manage several different tasks and projects.
* Comfortable communicating and collaborating through Slack.
* Confidence using AI tools productively while checking their output.
* Reliable internet, a suitable computer and a backup connection.
* Proactive, dependable and willing to take ownership of work.
Experience with Salient and WPBakery would be particularly valuable, but training can be provided to someone with strong transferable WordPress experience.
## Working arrangement
* Approximately 30 hours per week.
* Long-term, part-time contractor position.
* Approximately 6 hours per day, Monday to Friday.
* Some daily overlap with UK working hours is required.
* A working pattern around 3pm–9pm Philippine time would be suitable.
* Payment will be made weekly for the first two months.
* The role may increase in hours if the arrangement works well for both sides.
