We work closely with clients to create impactful digital strategies, manage campaigns, and execute high-quality content across multiple platforms.
We are looking for a highly organized and proactive **Virtual Assistant – Project Management** to support our project execution and team coordination. This role is ideal for someone who thrives in a fast-paced environment, loves structure, and understands social media marketing in the U.S. market.
Position Overview
The Virtual Assistant – Project Management will support the daily operations of client projects by coordinating timelines, organizing assets, following up with internal teams, and ensuring projects move smoothly from planning to execution.
This role starts as *part-time* and is expected to work during *U.S. business hours*, with strong potential to grow into a *full-time position*based on performance and business needs.

Key Responsibilities
1. Project Coordination
* Support project managers in organizing and tracking client deliverables
* Maintain project timelines, checklists, and task boards
* Follow up with internal tea
* Help identify risks or bottlenecks early and escalate when needed
2. Social Media & Marketing Support
* Assist with scheduling and coordinating content across platforms (Instagram, TikTok, Xiaohongshu/Rednote, etc.)
* Organize campaign assets, creator submissions, and client materials
* Track campaign progress and reporting data
* Ensure brand guidelines and project requirements are clearly communicated
3. Administrative & Communication
* Take meeting notes and summarize action items
* Manage documentation and internal workflow systems
* Support cross-functional communication between account managers, creatives, and leadership
* Maintain organized records and project files

Requirements
* Strong organizational skills and high attention to detail
* Project Management certification preferred (e.g., PMP, CAPM, Google Project Management Certificate, or equivalent)
* Excellent written and verbal communication skills in English
* Familiarity with U.S. social media marketing platforms (Instagram, TikTok, Meta Business Suite, etc.)
* Comfortable working in a fast-moving agency environment
* Ability to manage multiple projects simultaneously
* Proactive mindset — able to anticipate needs and follow through without constant direction
* Reliable internet connection and ability to work during U.S. business hours

Preferred Qualifications
* Previous experience supporting project management or digital marketing teams
* Experience working with tools like Asana, Trello, Notion, ClickUp,
* Understanding of influencer marketing workflows
* Agency or hospitality/F&B marketing experience is a plus
