Virtual Parts & Procurement Coordinator
**Schedule:** Monday–Friday, 7:30 a.m.–4:30 p.m. Eastern Time
**Location:** Remote
About the Role
We are looking for a highly organized, responsive **Virtual Parts & Procurement Coordinator** to support our Parts and Supply Chain operations. This role serves as a key point of contact for parts customers while helping keep estimates, payments, Parts Research requests, purchase orders, and order updates moving forward.
You’ll be responsible for the day-to-day follow-through that creates a great customer experience and gives our internal Supply Chain team more time to focus on purchasing, sourcing, technical research, inventory, and complex procurement needs.
## What You’ll Do
* Answer inbound parts calls,
* Gather customer and equipment information, including make/model, serial numbers, data tags, photos, quantities, and requested parts.
* Create and maintain accurate customer and lead records.
* Coordinate requests requiring technical identification with our internal Parts Research team.
* Create and send parts estimates using approved information.
* Follow up consistently on open estimates through sale or closure.
* Communicate pricing, availability, and lead times to customers.
* Send payment links or instructions and follow up on routine outstanding payments.
* Create clear handoffs to Supply Chain when parts are ready to be ordered or shipped.
* Follow up on open purchase orders and vendor acknowledgments.
* Maintain accurate expected ship dates, lead times, backorder/delay information, and tracking details.
* Keep customers and internal teams informed throughout the process.
* Proactively flag delays, exceptions, or issues requiring additional support.
## What Success Looks Like
You are responsive, organized, and consistent. Customers receive timely communication, estimates don’t fall through the cracks, open orders have clear status updates, and internal teams can quickly determine where an order stands.
Key performance expectations include:
* **95%+** compliance with inbound customer response standards
* **98%+** compliance with required parts estimate follow-up
* **95%+** compliance with open purchase order visibility requirements
## What This Role Does Not Own
This role supports procurement and order coordination but does **not** independently make purchasing, sourcing, pricing, or technical parts-identification decisions. Complex vendor issues, inventory management, physical receiving/shipping, and other procurement exceptions remain with the internal Supply Chain team.

* Comfortable working across multiple systems and maintaining accurate records
* Team-oriented and able to coordinate effectively with Sales, Service, and Supply Chain
* Able to work consistently during **7:30 a.m.–4:30 p.m. Eastern Time**
