About the Role
We’re looking for a highly organized, detail-oriented Virtual Operations & Client Care Coordinator to support our fast-growing College Hunks Hauling Junk & Moving franchise.
This role is the heartbeat of our operation. You’ll manage customer communication, keep our systems clean and organized, track performance metrics, and ensure nothing falls through the cracks. If you love structure, accountability, and keeping teams running smoothly—this role is for you.
Work Schedule
Full-time: 40–50 hours per week
Monday–Saturday
Graveyard shift (U.S. Eastern Standard Time)
Real-time availability required (not async)
Key Responsibilities
Client Communication & Scheduling
Make welcome calls for all new leads
Conduct confirmation calls prior to scheduled jobs
Handle inbound and outbound calls professionally and confidently
Reschedule jobs and document all changes accurately
Provide excellent customer service while representing our brand
Lead Management & CRM Ownership
Manage leads from intake to job completion within our CRM
Ensure 100% lead follow-up according to company standards
Maintain clean, accurate notes, statuses, and task completion
Identify stalled or unresponsive leads and flag them proactively
Dashboard & Workflow Management
Create and manage swim lanes in our internal dashboard
Move jobs through correct stages in real time
Maintain visibility and organization for leadership and operations teams
Billing, Invoicing & Documentation
Prepare, send, and track customer invoices
Generate and send Certificates of Insurance (COIs)
Double-check all billing details for accuracy
Assist with follow-up on outstanding invoices as assigned
Metrics Tracking & Reporting
Track daily and weekly metrics such as:
Call attempts and contact rates
Lead response time
Jobs booked and confirmed
Follow-up completion
Update spreadsheets and scorecards accurately and consistently
Provide leadership with clear, reliable performance data
Administrative & Operational Support
Use Microsoft Word, Excel, and PowerPoint for reporting and documentation
Maintain organized digital files and records
Support sales and operations teams with administrative tasks
Assist in documenting processes and improving workflows
Quality Control & Ownership
Ensure accuracy across all job details and system entries
Take ownership of tasks until fully completed
Communicate issues early and escalate when needed
Follow SOPs while contributing ideas for improvement
Required Qualifications
Fluent in spoken and written English
Proficient in Microsoft Word, Excel, and PowerPoint
Comfortable working overnight U.S. Eastern Standard Time
Strong attention to detail and organizational skills
Confident phone presence and professional communication
Reliable internet, phone access, and quiet work environment
Experience with CRMs, scheduling, or operations systems (preferred)
