About V&C Cabinet Design Concept
V&C Cabinet Design Concept LLC is a luxury kitchen and bathroom renovation company based in Tampa Bay, Florida. We specialize in high-end European and modern Italian design for residential clients, with projects ranging from $25,000 to $200,000. We are a growing company moving from 2 to 5 projects per month and we need a sharp, organized, and proactive Virtual Assistant to run our operations so our CEO can focus on design and sales.
This is a long-term position for someone who wants to grow with a premium American company.
The Role
You will be the operational backbone of V&C. You will own our lead pipeline, coordinate active projects, manage our communications, and keep our systems running smoothly — every single day.
This is not a task-by-task assistant role. We need someone who builds structure independently, takes ownership without being told what to do, and delivers results.
Your Responsibilities
Lead Management & CRM
Respond to all incoming leads via
Enter every lead in Zoho CRM the same day — name, source, budget, status, next action
Qualify leads: Hot / Warm / Cold
Follow up at Day +1 and Day +7 on all open leads
Book consultations and send confirmation to clients
Prepare a brief for Nathalie 1 hour before every consultation
Project Coordination
Track all active projects: materials, deliveries, subcontractor schedules
Follow up with suppliers to confirm delivery timelines
Flag any delay or issue to Nathalie the same day
Send project documents to subcontractors and track their sign-off
Finance & QuickBooks Online
Enter all transactions in QuickBooks with correct project tags
Track client deposits and flag any overdue payments
Prepare the weekly financial status report every Friday
Client & Supplier Communication
Manage the V&C
Send professional responses to clients, suppliers, and subcontractors
Follow up on unsigned contracts via DocuSign
Social Media & Marketing
Publish 3 posts per week (Instagram,
Use photos and content provided by Nathalie — apply the V&C caption formula
Respond to comments and messages on social platforms
Reporting & KPIs
Send an end-of-day report before 5:00 PM EST — numbers only, no narrative
Prepare the weekly KPI dashboard every Friday
Submit the monthly performance report on the 1st of each month
Requirements — Non-Negotiable
Minimum 3 years experience as a Virtual Assistant or Operations Assistant
Excellent written English — you will communicate directly with American clients
Experience with Zoho CRM or similar CRM (HubSpot, Salesforce)
Experience with QuickBooks Online
Strong knowledge of Google Drive, Google Calendar, Gmail
Experience managing social media accounts for a business
Reliable internet connection and quiet workspace
Available Monday to Friday, 9:00 AM to 2:00 PM EST
Self-starter — you do not wait to be told what to do next
Nice to Have
Experience in construction, renovation, interior design, or real estate
Experience with DocuSign and Houzz Pro
Experience with Canva for social media content
Schedule & Compensation
Hours: 20–25 hours per week
Schedule: Monday to Friday, 9:00 AM – 2:00 PM EST
Rate: $8–$12 USD per hour based on experience
Contract type: Independent Contractor
Start date: As soon as possible

Monthly Performance Bonus — up to $100 USD/month
Earned when all 3 conditions are met every month:
Daily end-of-day report sent before 5:00 PM EST — every working day
Zero leads missed or entered late in Zoho CRM
Weekly Friday report submitted before the sync — every week
6-Month Retention Bonus — $200 USD
Paid automatically at the 6-month mark for performers who meet their KPIs consistently.
12-Month Loyalty Bonus — $300 USD
Paid at the 12-month mark. We invest in people who invest in us.
Total bonus potential: up to $1,700 USD in year one for a top performer.
