JOB OVERVIEW

ABOUT THE ROLE:

We are a growing real estate business based in Chicago, USA, focused on helping clients find and secure rental properties. We are looking for a highly organized and confident Virtual Assistant to support our leasing process by communicating with listing agents, gathering property details, and coordinating showings.

This is a communication-heavy role, not just admin work. You will be speaking with real estate agents and assisting prospective tenants, so strong English communication skills (especially on the phone) are essential.

KEY RESPONSIBILITIES:

- Review incoming rental leads and match them with available listings
- Call, email, and follow up with listing agents and property managers
- Gather key information about listings, including:
- Availability dates
- Application requirements
- Fees (application, admin, pet, etc.)
- Showing instructions
- Communicate property options clearly to prospective tenants
- Schedule property showings on a shared calendar
- Maintain accurate and organized records in Google Sheets or Excel
- Follow up consistently to ensure no opportunities are missed

REQUIREMENTS (MUST HAVE):

- Excellent spoken and written English
- Strong phone communication skills (confident, clear, professional)
- Experience speaking with clients, customers, or vendors
- Highly organized and detail-oriented
- Ability to follow instructions and work independently
- Reliable internet connection and quiet work environment

PREFERRED (BUT NOT REQUIRED):

- Real estate experience (leasing, property management, or similar)
- Experience with CRM systems (HubSpot, Salesforce, etc.)
- Experience working with U.S.-based clients

WORK EXPECTATIONS:

- Handle 5–15 new leads per day (increasing over time)
- Make outbound calls and send emails daily
- Provide daily updates on progress and completed tasks
- Be available during U.S. business hours (Central Time overlap preferred)
