We are a fast-growing U.S.-based ecommerce brand in the bedding and sleep category, looking for a highly organized and responsible Virtual Executive Assistant / Project Manager to support our Creator Outreach and Advertising Operations team.

This is a key role responsible for managing the full workflow of creator content — from video collection to campaign delivery — and ensuring the entire process runs smoothly across multiple teams.

Responsibilities

Manage all creator outreach video files, including downloading, organizing, categorizing, and updating folders daily.

Work closely with the Ads Team to ensure all videos are uploaded into the correct ad campaigns on time.

Track video-related tasks, identify missing items, and ensure issues are followed up and resolved promptly.

Maintain and oversee the Creator Outreach folder structure, keeping everything clean, organized, and aligned with SOPs.

Communicate with creators as needed to collect missing assets or coordinate deliverables.

Assist with basic creator outreach tasks (messaging creators, replying, coordinating sample shipments).

Monitor task progress, report daily updates, and ensure the pipeline runs smoothly.

Requirements

Strong sense of responsibility and reliability — this role manages a critical department.

Ability to independently manage and update large volumes of files and video content.

Excellent organization and project management skills.

Experience communicating with creators/influencers is a strong plus.

Must have experience using Notion, and be comfortable working with templates, workflows, and databases.

Familiar with Google Drive, Google Sheets, and structured SOP workflows.

Able to work closely with both the Creator Outreach and Ads teams.

Prior experience in Creator Outreach / UGC / Influencer management / Ads operations is highly preferred.

Preferred Qualifications

Previous experience in executive assistance, project management, creator outreach, or UGC operations

Familiarity with TikTok, Instagram, and creator content pipelines

Strong English communication

Ability to multi-task and keep processes organized and on track
