Location: Remote (US Timezone Hours)

About the Role:

We're looking for a highly organized Virtual Executive Assistant – Healthcare Operations to support the daily operations of a growing healthcare organization.

You'll manage calendars, coordinate client communications, oversee scheduling, and assist with administrative workflows that keep the practice running efficiently. This role requires excellent judgment, attention to detail, and exceptional communication skills.

Responsibilities:

Manage calendars and appointment scheduling

Answer and direct incoming phone calls

Respond to emails and client inquiries

Coordinate intake documentation and administrative workflows

Maintain client records in practice management software

Assist with insurance verification and administrative follow-up

Track cancellations and reschedule appointments

Support operational projects and process improvements

Ensure confidentiality and HIPAA compliance

Qualifications:

2+ years of experience as an Executive Assistant, Administrative Assistant, or Virtual Assistant

Excellent English with a professional American accent

Strong proficiency with productivity software and scheduling systems

Experience supporting U.S.-based businesses preferred

Exceptional organizational and multitasking abilities

Ability to prioritize independently in a fast-paced remote environment

Available during U.S. Eastern working hours
