About the Role
I'm the President & CEO of a multi-location outpatient physical therapy organization based in the Greater Houston, Texas area, along with several affiliated companies spanning healthcare staffing, revenue cycle management, and a nonprofit foundation. I'm looking for a sharp, highly organized, and exceptionally well-spoken Virtual Assistant / Executive Assistant to take the day-to-day administrative load off my plate so I can focus on clinical leadership, growth, and strategy.
This is NOT a data-entry or ticket-answering role. I need a true right hand who can own my calendar, represent me professionally on calls and
What You'll Do
Calendar management — Own my calendar across multiple businesses, proactively resolve conflicts, block focus time, and keep everything organized so I'm never double-booked or caught off guard.
Appointment scheduling — Set up and confirm personal appointments (including doctor/medical appointments) on my behalf, handling the back-and-forth with offices so I don't have to.
Meeting coordination — Schedule and confirm internal and external meetings with clinic leaders, partners, and vendors; send agendas and reminders; follow up on action items.
Reservations & logistics — Arrange breakfast, lunch, and dinner meetings, including reservations and calendar holds.
Email
Presentation building — Produce polished, professional PowerPoint/Google Slides decks for leadership meetings, board updates, and internal workshops (I'll provide content and direction; you handle the design and buildout).
File organization — Keep Google Drive folders and documents organized and easy to find.
Making calls on my behalf — Occasionally call or
General executive support — Ad hoc research, reminders, and administrative tasks across several active projects and businesses.
What I'm Looking For
Excellent English communication skills — written AND spoken. This is the single most important requirement. You'll be
Proven experience as a Virtual Assistant or Executive Assistant supporting a US-based executive or business owner.
Strong hands-on experience with Google Workspace — Gmail, Google Calendar, Google Drive, and especially Google Slides / PowerPoint deck design.
Highly organized, detail-oriented, and able to juggle priorities across multiple businesses without dropping the ball.
Discreet and trustworthy — you'll be handling confidential, executive-level information.
Proactive self-starter who anticipates needs rather than waiting to be told what to do next.
Reliable high-speed internet, a quiet home office setup, and backup power in case of outages.
Able to work hours that meaningfully overlap with US Central Time (Houston, TX).
Nice to Have (Not Required)
Prior experience supporting a healthcare, wellness, or multi-location business executive.
Advanced design skills in Canva, PowerPoint, or Google Slides.
Familiarity with practice-management, payroll, or scheduling software.
Schedule & Compensation
Schedule: Part-time, approximately 20 hours/week, Monday–Friday, within a 9:00 AM–3:00 PM US Central Time (Houston, TX) window.
Pay: $4–$6 USD/hour, depending on experience (approx. $80–$120/week at 20 hrs/week).
