Virtual Receptionist / Administrator
Full-time (20-30hrs/week) | $5-10 AUD/hour | Sydney AEST Hours | Long-Term Role
We are hiring a confident, caring, and detail-oriented Virtual Customer Experience Officer to support two thriving Australian Businesses:
Carte Blanche Hair – a luxury salon delivering exquisite, high-touch experiences for self-expressed clients
Fixio Physiotherapy – a progressive clinic offering intelligent, empathetic care with clinical excellence
We are seeking a Virtual Receptionist / Administrator to become a long-term part of our operations team. This is a key role where you are the front line; the voice, the organiser, and the calm hand that ensures our client journey is flawless. You will support our in-salon and in-clinic teams by keeping bookings smooth, clients, informed, and back-end tasks running efficiently.
It is best suited to someone who values structure, consistency, and professional growth in a stable remote role. It also requires uninterrupted availability during scheduled hours so we prefer applicants with minimal personal obligations during work time.
About the Role
This position combines front-line receptionist duties, administrative support, and light project management. You will be a key point of contact for our clients and an essential support for our internal team. You will be working closely with the business owners and 1–2 other admin tea
3 Key Components of the Role
1. Receptionist Duties
You will be responsible for managing two phone lines throughout your shift.
Answering and making calls using DialPad
Booking and managing appointments via Fresha (Salon) and Cliniko (Clinic)
Responding to phone, SMS, and
Guiding clients toward the correct services and practitioners
Maintaining a calm, professional tone at all times
2. Administration
Inbox and
Calendar coordination and scheduling
Data entry and record management
Strong daily use of Google Workspace
Team communication via Slack, WhatsApp, and Outlook
Handling sensitive client and HR information with discretion and confidentiality
Reporting directly to the business owners
3. Project Management (Ad Hoc)
Supporting operational projects as needed
Creating or improving internal resources
Identifying efficiencies in workflows and systems
Assisting with the creation of policies and procedures
Taking initiative and thinking critically without constant supervision
We are looking for someone who is:
A confident and kind communicator with a clear phone manner
Experienced in reception, admin, or client-facing roles (bonus if in hair/healthcare)
Fluent in English with strong conversational, writing, and spelling skills
Highly competent with Google workspace (Docs, Sheets, Slides, Gmail, etc.)
Comfortable learning and navigating systems like Fresha, Cliniko, Cliniqflows, and DialPad
Emotionally Intelligent, organised, and able to multitask
A proactive team player who values both excellence and warmth
Work Requirements
Must be available during Sydney (AEST) Timezone. You will need to be available for ALL of the hours below:
Monday to Friday at 8:00am – 6:00pm AEST
Saturday at 8:00am – 3:00pm AEST
Starting at 20 hours per week (with potential to grow to 30+ hours per week)
Flexibility to cover other shifts when required
Stable internet connection (backup preferred)
Reliable power supply
Professional, quiet work setup
Ability to remain online and responsive throughout the shift

Contract & Compensation
Rate: $5-10 AUD/hour (This will depend on experience and proficiency in required skills)
Initial 3-month Trial Contract
Role begins within 1 week with training to start
