We are a U.S.-based construction company expanding our subcontracting operations in New Mexico and are looking for a reliable, organized Virtual Assistant to help manage the administrative side of the business.
This will be a long-term position for the right person. You will work directly with the owner and help keep projects, subcontractors, estimates, paperwork, and billing organized.
Responsibilities
* Find and contact subcontractors in New Mexico for different construction trades
* Maintain a database of subcontractors, contact information, pricing, licenses, and insurance
* Request quotes and follow up with subcontractors
* Help organize bids, estimates, scopes of work, and project documents
* Track projects from bidding through completion and invoicing
* Prepare and organize subcontractor agreements and work orders
* Track Certificates of Insurance (COIs), W-9s, licenses, and other compliance documents
* Help prepare invoices and track outstanding payments
* Organize receipts, expenses, purchase orders, and project costs
* Maintain Excel/Google Sheets project trackers
* Schedule subcontractors and follow up on project deadlines
* Make phone calls and send professional
* Research permits, contractors, vendors, materials, and construction-related information
* Keep Google Drive/project folders organized
* Provide the owner with a clear daily or weekly update of outstanding items
Ideal Candidate
You should be:
* Highly organized and dependable
* Comfortable making phone calls to U.S. companies
* Fluent or highly proficient in written and spoken English
* Good at following up with people without needing constant reminders
* Comfortable working independently
* Experienced with Excel and Google Sheets
* Able to write professional
* Comfortable learning construction terminology
* Detail-oriented with numbers and paperwork
* Able to handle multiple projects at the same time
Construction, general contracting, subcontractor management, estimating, bookkeeping, or project coordination experience is a major plus.
Experience working with U.S. construction companies is especially valuable.
Typical Tasks
One day you may be asked to find three licensed HVAC subcontractors in Albuquerque and request pricing.
Another day you may need to organize subcontractor quotes, update our project cost tracker, prepare an invoice, check which subcontractors are missing insurance documents, and follow up on outstanding bids.
The goal of this position is to take administrative work off the owner’s plate and make sure nothing falls through the cracks.
Hours
Initially, this position may start part-time with the opportunity to become full-time as our New Mexico operations grow.
Some working hours must overlap with Mountain Time in the United States so you can contact New Mexico subcontractors and vendors during normal business hours.
