The Role
We are hiring an Evening Guest Operations & Reservations Virtual Assistant to take ownership of guest operations during our main check-in and evening period. This is an operational hospitality role, not a generic administrative VA position.
Working Hours
Monday, Friday, Saturday and Sunday — 4:00pm–11:00pm UK time.
The first 30 minutes of each shift (4:00pm–4:30pm) are a structured handover with our experienced Senior VA. From 4:30pm, you will own the evening operation.
Key Responsibilities
• Manage guest communications during the evening shift.
• Handle check-in and arrival issues professionally and quickly.
• Manage evening SuiteOp requirements, including checking ID verification, signed rental agreements and completion of the £150 refundable or £65 non-refundable safety-deposit option.
• Manually verify guests when all requirements have been correctly completed.
• Handle last-minute and same-day bookings.
• Support guests with genuine access/check-in issues while directing them to the SuiteOp portal for information already provided there.
• Handle booking amendments, extensions, complaints and late arrivals.
• Coordinate cleaning or maintenance exceptions and property access when issues arise.
• Manage relocations during the shift when required.
• Check upcoming arrivals and flag incomplete requirements.
• Maintain clear records of unresolved issues and prepare a concise end-of-shift handover.

Who We Are Looking For
• Excellent written and spoken English.
• Someone who doesn’t rely solely on Artificial Intelligence to respond to guests.
• Calm and professional when dealing with difficult or frustrated guests.
• Strong judgement and problem-solving ability.
• Able to work independently without forwarding every problem to management.
• Highly organised and comfortable managing multiple live issues.
• Reliable during weekend and evening shifts.
• Comfortable learning property-management and guest-verification systems.

• Be able to speak perfect English for phone calls that may come in from guests.

We are not looking for someone who simply responds to messages. We want someone who takes ownership of an issue, gathers the facts, solves what they can, documents what remains and escalates only when necessary.
