What you'll be doing
Six areas, roughly in order of how much time they take:
- Vendor coordination — sending contracts and welcome packs to 20–25 vendors per event, collecting their documents, answering their questions, and following up until everything's in
- Tracking and reporting — owning the event task tracker, chasing what's overdue, and sending a short end-of-day summary so nothing depends on anyone's memory
- Marketing execution —
- Creators and influencers — briefing them, confirming attendance, chasing content, saving links
- Supplier bookings — equipment, power, cleaning, security: booking, confirming, and following up delivery
- Post-event wrap-up — reconciling vendor commissions and pulling the final event report together
What we're looking for
- Experience coordinating projects, operations or events remotely. Events experience is a bonus, not a requirement — organised project coordination from any industry counts
- You follow up relentlessly, politely, and without being asked
- Detail-oriented, with a habit of saving proof rather than just ticking a box
- Comfortable with spreadsheets and task management tools; confident you can pick up WordPress and Elementor
- Clear, professional written English — you'll be the main contact for dozens of vendors
- Good judgement about what to handle yourself and what to escalate
Hours
- Full-time, 40 hours per week on Australian Eastern Standard Time. Events run Friday to Sunday, so some weekend availability is needed during event weeks. We'd rather be upfront about this now than have it surprise you later.
