We are a growing mental health practice seeking a compassionate and professional Virtual Assistant to support client communication, scheduling, intake coordination, and social media support.
This role requires someone who is warm, organized, and comfortable speaking with individuals seeking counseling services, while also assisting with content posting and engagement.
Responsibilities:
Call and follow up with potential clients (warm leads)
Schedule appointments (in-person & virtual)
Explain insurance options (Aetna, BCBS, Cigna) and sliding scale fees
Send intake forms and reminders
Maintain organized client communication notes
File insurance claims
Assist with social media posting and basic content management (Instagram,
Requirements:
Strong English communication (spoken and written)
Experience in customer service or healthcare preferred
Comfortable speaking on the phone
Reliable internet and private, secure workspace due to confidential information
High level of professionalism and empathy
Hours:
Part-time (10–20 hours/week to start)
Must overlap with U.S. Central Time
Bonus if you have:
Experience with therapy practices or medical offices
Knowledge of insurance verification
Spanish-speaking (not required but a plus)
Familiarity with HIPAA or handling confidential client information
Experience with social media scheduling tools (e.g., Meta Business Suite, Canva, etc.)
