Job Title: Virtual Assistant – Customer Service and Job Scheduling, Finance Tracking and Systems Growth (Full-Time)
Job Description:
We are looking for a long-term, reliable Virtual Assistant to become a key part of our business operations. This role is full-time and involves a variety of important administrative and support tasks, with a focus on keeping everything running smoothly day to day.
Your responsibilities will include:
• Job & Schedule Management: Assigning jobs to cleaners/technicians via CRM and updating daily schedules.
• Use Xero / Quickbooks for payroll and daily P/L sheets
• Customer Support & Payments: Responding to inquiries, following up with customers, and reconciling payments to ensure all accounts are up to date.
• Payroll & Commissions: Preparing weekly payroll and commission calculations for our team.
• Accounts & Reporting: Tracking paid vs unpaid jobs, updating spreadsheets, and providing weekly reports (KPIs, leaderboards, profit/loss sheets).
• Recruiting from Social Media —> Booking in interviews for me for potential workers for my company
• General Admin:
Work Hours:
• About 10 hours per day, 6 days per week. 8:30am-6:30pm AEDT
• Some days will be busy with multiple tasks; other days will be lighter, mainly monitoring schedules, reconciling payments, or being available for quick updates.
Requirements:
• Strong English communication skills (written & verbal).
• Experience with XERO/Quick Books
• Reliable laptop and stable internet connection.
• Experience with admin tools (, CRMs, — training can be provided).
• Organized, detail-oriented, and proactive.
• Trustworthy and committed to long-term work.
Compensation:
• $2-4 USD per hour
