Key Responsibilities:
1. System Management
Liaise with plumbing technicians on completion of job via phone calls
Maintain and optimise workflows in ServiceTitan (job forms, memberships, tags, reports, dispatch notifications).
Integrate Podium with ServiceTitan for automated review and photo SMS campaigns.
Monitor data quality and ensure all customer, job, and invoice details are accurate.
Build automations for job completion forms, review triggers, and membership renewals.
Create and maintain SOPs for all recurring admin and digital processes.
2. Customer Experience & Communication
Draft and schedule text message and
Set up automated nurture sequences for leads and existing members.
3. Marketing Support
Create and schedule social media posts
Build simple landing pages or forms (using ServiceTitan or Google Forms) for campaigns and lead capture.
Track campaign metrics and provide weekly performance reports.
Video editing skills
4. Process Optimisation
Identify inefficiencies and propose automation or delegation opportunities.
Maintain internal forms and digital templates (Google Drive, ServiceTitan, and Canva).
Assist with data clean-up, reporting dashboards, and internal admin tasks.
???? You’ll Succeed If You Have:
Mandatory: Advanced experience with ServiceTitan and Podium (not just familiarity – true working proficiency).
Proven experience as a Virtual Assistant or Operations Coordinator in a service-based business.
Strong understanding of marketing automations, CRM workflows, and SOP documentation.
Excellent written English and attention to detail.
Confidence using Google Workspace, Canva, and AI tools for copy and graphics.
Ability to work independently, troubleshoot tech issues, and take initiative.

Familiarity with Xero, Zapier, or Google Sheets automations.
Experience managing reviews, testimonials, and customer feedback campaigns.
Graphic design or Canva skills for social media and branded documentation.
Confidence in video editing for marketing
