Role Overview
We are looking for a part-time Virtual Assistant who sits in every meeting, captures what was agreed, and then makes sure it actually happens. The core of this job is follow-up. You will chase internal team members and external clients until tasks are closed, and you will surface a blockage early rather than reporting it after the deadline has passed.
You need enough SEO knowledge to understand what is being chased and who owns it, and to ask a sensible clarifying question in the room rather than nodding along and getting it wrong later. Admin experience helps but is not a requirement.
Engagement Terms
- Part-time, remote, paid hourly or on a fixed monthly retainer.
- You attend all scheduled internal and client meetings.
- You must be available 30 minutes before and 30 minutes after every meeting. The before block is for prep: last meeting's notes, the open action list, and anything we owe the client that is late. The after block is for output: notes circulated same day and the first round of follow-ups sent immediately, not tomorrow.
- Meeting times follow the client, so many sit within Singapore hours but some will not. You need to be flexible outside a fixed daytime schedule.
- Once you have applied with the subject line I'm your star VA and cleared the interview, you will be added to a WhatsApp group and the relevant client Slack channels.
Key Responsibilities
- Meeting support
- Ask clarifying questions during the meeting when an action item is vague, unowned or undated.
- Prepare the pre-meeting brief in the 30 minutes before: agenda, open items and their current status, and anything overdue on our side.
- Circulate notes in the 30 minutes after, structured as decisions, action items with an owner and a date, and open questions.
Follow-up and chasing
- Follow up with internal stakeholders (writers, editors, SEO specialists, developers) on task status against the agreed dates.
- Follow up with external stakeholders (clients, client-side dev and marketing teams, guest post contacts) for approvals, website access, content sign-off, information and assets.
- Maintain one live tracker of every open item with owner, date requested, date promised, next chase date and status.
- Escalate to the account lead once a chase has failed twice, with a one-line summary of what is stuck and what it is blocking. Do not simply forward the

- Admin support
- Calendar management, scheduling and rescheduling across the team.
- Maintaining trackers, folder structure and file naming in Google Drive.
- Formatting and tidying decks, reports and documents.
- Light data entry into Google Sheets and the project management tool.
Preferred Skills
- Working knowledge of SEO. You do not need to run campaigns, but you should understand on-page, off-page and technical -SEO, what a brief is, what a meta title does, and roughly why rankings take time.
- Confident, persistent follow-up. You are comfortable chasing people more senior than you and clients who have gone quiet.
- Excellent written English. Your notes and chase messages go directly to clients.
- Clear spoken English, since you will be asking questions live on client calls.
- Strong organisation. One tracker, kept current, with nothing held only in your head.
- Google Sheets: filters, sorting, conditional formatting. VLOOKUP or XLOOKUP is a bonus.
- Familiarity with a project management tool (Asana, ClickUp, Trello, Monday or Notion).
- Bonus: experience with Ahrefs, Semrush, Google Search Console, GA4 or Looker Studio, even at a viewing level.
- Reliable internet with a backup connection, a quiet working space, and a plan for power outages.
