Kolbe 15 is a founder community built around real, in-person connection, peer groups, curated experiences, retreats, and public events for ambitious founders and operators. We're looking for a Virtual Assistant who can own both the research and the execution side of running it, so the founder can stay focused on members, partnerships, and content instead of logistics.
The Role
This isn't a "do exactly what I say" assistant role. If we're planning a trip to Mexico and you're told "we need A, B, C," you research the options, find the most suitable price, negotiate with vendors, and bring back a decision-ready recommendation, not just a list of links. That's the standard for everything below.
What You'll Do
- Trip & event planning — research venues, activities, and vendors for retreats and events (e.g. the Tulum trip); find the best options, negotiate pricing, and manage bookings
- Grants — search for relevant grants, determine eligibility, and apply on Kolbe's behalf
- Sponsorship & partnerships — find and reach out to potential sponsors and resources, track the pipeline, and keep relationships moving
- Calendar management — keep the founder's calendar accurate and up to date; schedule meetings and events
- Event coordination & member communication — manage logistics for recurring activities (Tuesday Runs, cohort weekends, panel series) and communicate directly with members and attendees
- Speaker/panelist coordination — outreach, prep materials, and logistics for event speakers and panelists
- Outreach tracking — keep the outreach log and member/founder directory current so nothing falls through
- Inbox triage— flag what needs a personal reply vs. what you can handle directly
- Light expense/invoice tracking
- Represent Kolbe 15 professionally — including keeping a polished, professional LinkedIn presence for outward-facing communication
What We're Looking For
- Strong research instincts — you dig past the first search result and bring back a real recommendation, not just raw options
- Comfortable negotiating with vendors and external parties on Kolbe's behalf
- Takes initiative rather than waiting for every step to be spelled out
- Highly organized — can juggle multiple live projects (a trip, a grant application, a sponsor pipeline) at once
- Excellent written communication — comfortable reaching out to new people and representing the community well
- Professional, presentable LinkedIn profile
- Comfortable with Google Workspace, Luma, and picking up new tools as needed
- Trustworthy with sensitive information (applicant data, member details, finances)

**All you're given to start:** the founder's name is Behzad Hariri, based in Toronto, Canada. That's it.
1. Research who he is and what he does, using whatever's publicly available.
2. Based on what you find, plan out a full day for him — that would actually be useful and interesting to *him specifically*, not a generic "productive day" template.
3. Write up your reasoning: what you found, what you inferred, what assumptions you made, and what you'd ask him directly if you could.
