We are seeking a highly organized, proactive, and detail-oriented Virtual Assistant to support our property management operations. The ideal candidate will have experience in guest and client relations, maintenance coordination, and administrative support within the short-term rental industry.
Experience with short-term rentals (STR) is required, and mid-term rental experience is strongly preferred. Familiarity with property management software and tools used in the STR space is essential.
This is a fully remote position requiring approximately 8 hours per day. As our company is actively expanding, this role offers significant opportunities for increased responsibility, compensation, and career growth within the first year and beyond.
?Key Responsibilities
?Guest & Tenant Management
?Respond promptly to guest and tenant inquiries, and manage communication regarding property-related concerns.
?Maintain a strong understanding of systems and processes related to short-term rental operations.
?Track guest payments, service issues, and important documentation.
?Assist with guest screening, move-in and move-out coordination, and lease renewals.
?Anticipate guest needs and deliver a hospitality-focused service experience.
?Maintenance Coordination
?Coordinate maintenance and repair requests and ensure issues are resolved efficiently.
?Communicate with cleaners, vendors, and maintenance personnel to ensure smooth operations.
?Maintain detailed records of work orders, repairs, and service history.
?Client (Property Owner) Management
?Maintain regular communication with property owners and prospective clients.
?Provide updates on property performance, guest issues, and upcoming lease renewals.
?Assist with onboarding new properties and clients, ensuring a smooth and professional transition.
?Anticipate client needs and maintain a high level of service and professionalism.
?Bookkeeping & Accounting
?(Preferred but not required)
?Assist with rent collection, invoicing, and payment tracking.
?Maintain financial records and assist with account reconciliation as needed.
?Track property expenses and provide financial updates to management.
?Administrative Support
?Strong familiarity with AI productivity tools is highly preferred.
?Support and maintain operational systems used in short-term and mid-term rental management.
?Manage and organize property documents, contracts, and operational records.
?Assist with pricing adjustments and listing optimization.
?Draft and respond to
?Software & Systems Management
?Utilize property management systems and operational tools to maintain accurate records and streamline workflows.
?Digital Marketing (Preferred but not required)
?Assist with social media efforts to strengthen brand awareness and attract new guests and clients.
?Support content creation and maintain social media channels as needed.
?Lead Generation & Business Development Support
?Assist with lead generation efforts to identify potential property owners and new client opportunities.
?Research and compile lists of prospective clients in target markets.
?Support outreach efforts by contacting and following up with potential clients through
?Help maintain and update lead tracking systems or CRM tools to ensure organized follow-up.
?Assist management in nurturing relationships with prospective clients and converting leads into new property management partnerships.
?Qualifications
Experience
?Proven experience in short-term rental property management or real estate operations is required.
?Experience with Hospitable PMS is strongly preferred.
?Experience managing both short-term and mid-term rental properties is highly desirable.

?Excellent written and verbal communication skills (strong English proficiency required).
?Technically proficient and comfortable learning new software platforms.
?Strong organizational and time management skills with the ability to manage multiple tasks simultaneously.
