We are a well-established residential fix-and-flip company based in the Chicagoland area with over 15 years in business. We renovate and resell 30+ homes per year and are looking to hire a highly organized, detail-oriented Virtual Assistant Project Manager to help support our construction and renovation operations remotely.
This role is ideal for someone with strong English communication skills, excellent administrative and project management ability, and a working knowledge of residential construction materials, repairs, and renovation processes. The right candidate should have enough construction familiarity to understand scopes of work, materials, vendor coordination, and contractor follow-up, while also being eager to continue learning and improving.
Key Responsibilities:
Prepare and draft construction agreements and scopes of work based on:
interior and exterior property photos
virtual tours
property measurements
repair notes and provided templates
Create detailed material lists for repairs using:
company material list documents
property measurements
project scopes and renovation standards
Coordinate and place orders with vendors and suppliers, including:
roofing companies
cabinet companies
other construction material vendors as needed
Follow up with contractors daily or weekly to:
track progress
confirm completed work
identify delays or issues
help keep projects on schedule
Coordinate permits and communicate with village/building departments regarding:
permit applications
inspection scheduling
status updates
required documents
Update spreadsheet trackers for:
receipts
material purchases
project costs
vendor and contractor payment support
Review and help approve contractor Home Depot and other material purchases on a daily basis
Maintain organized project records, notes, and communication logs
Qualifications:
Strong spoken and written English
Previous experience as a virtual assistant, project coordinator, construction coordinator, or project manager
Basic to intermediate knowledge of residential construction, remodeling, building materials, and common repair items
Strong attention to detail and ability to interpret photos, walkthroughs, and scopes of work
Comfortable working with spreadsheets, trackers, vendor quotes, and purchase records
Strong follow-up and communication skills with contractors, suppliers, and municipalities
Ability to manage multiple projects at once and stay organized in a fast-paced environment
Reliable internet connection and availability during U.S. business hours, especially Central Time
Preferred Qualifications:
Experience in residential rehabs, fix-and-flip, property management, or construction administration
Familiarity with permits, inspections, cabinets, roofing, paint, flooring, drywall, plumbing, electrical, and general renovation materials
Experience using Google Sheets, Excel, CompanyCam, contractor communication platforms, or project tracking tools
