We are seeking a diligent, customer-focused individual to join our team as a Part-Time Virtual Assistant with an emphasis on appointment setting and customer service. Saturday availability is required. As the primary point of contact for our clients and the first impression of our business, you will play a key role in ensuring a seamless experience throughout our couch and carpet cleaning operations.
Responsibilities:
Respond promptly to customer inquiries across phone, email, and text channels.
Schedule appointments for couch and carpet cleaning services, coordinating closely between clients and field technicians to ensure smooth schedules and timely arrivals.
Address customer concerns and complaints with empathy and professionalism, working to resolve issues to their satisfaction.
Collaborate with cleaning technicians and fellow virtual assistants to keep operations running smoothly.
Assist with essential administrative tasks, including customer documentation, logging notes, and basic billing.
Qualifications:
Strong English communication skills (both verbal and written).
Proven experience in customer service, appointment setting, or client support is a must.
Excellent common sense, operational multitasking skills, and composure under pressure.
Proficiency using basic computer tools, CRM systems, and scheduling platforms.
Reliable workstation with primary high-speed internet and a clear backup power/internet solution.
TO APPLY:
Please submit your Resume along with 2 Audio or (preferably) Video Recordings:
Recording 1: Introduction
Provide a 1-minute intro detailing your relevant customer service experience, appointment setting background, and why you are a great fit for this role.
Recording 2: Busy Shift Scenario
Walk us through how you would handle this exact moment on a shift:
You are on the phone taking down booking details with a client when a field technician sends an urgent message saying they can't get into a job site, and a second line starts ringing with an incoming call.
Please answer: In what exact order do you handle these 3 things, and why? How do you keep the current caller feeling valued while ensuring the technician isn't left standing outside stranded?
(Note: Applications missing any of the required recordings or failing to answer the scenario will be automatically disqualified.)
