Schedule: Monday through Friday, 9:00 AM to 5:00 PM US Eastern Time — this is required, not preferred.
Communication: Native or near-native English fluency is required. You will be speaking on the phone with US-based professional offices and assisting clients through registration processes. Your spoken English will be evaluated before any offer is made.
KEY RESPONSIBILITIES:
Professional Outreach & Registry Coordination
Contact professional offices to request, track, and follow up on record releases and required documentation
Assist clients through registration processes, ensuring all forms are completed accurately
Conduct professional follow-up calls to keep documentation moving through the pipeline without delays
Administrative & Data Operations
Prepare and organize digital files with a high degree of precision
Update and maintain CRM data and appointment scheduling software
Monitor Google Workspace (Gmail) for zero-inbox efficiency and timely responses
Use Google Sheets and Excel to track data, audits, and record reviews
Social Media & YouTube Management
Draft and design social media posts using AI tools as requested
Upload, optimize, and publish YouTube videos — titles, descriptions, and tags
Manage the publishing calendar across multiple platforms
YOU ARE THE RIGHT PERSON IF:
Your spoken English is professional, clear, and comfortable — you do not hesitate on the phone with US offices
You are obsessive about detail — you double-check every link, attachment, and form before hitting send
You are available Mon–Fri 9AM–5PM Eastern Time without exception
You have real experience with Google Workspace, Excel, and at least one CRM platform
You have used ChatGPT or Claude in your actual workflow and can demonstrate it with a real example
You thrive on SOPs and structured routines, but can think on your feet when something unexpected comes up
NICE TO HAVE:
Experience with client registration or intake coordination
YouTube channel management experience
Background in healthcare, legal, real estate, or any regulated industry
