We are looking for a high-level Virtual Assistant who will function as the Operations & Client Success Manager — the execution engine of the company and the CEO’s right hand.
This is not a basic admin role. This is for someone who thrives on responsibility, ownership, and making things happen.
Role Overview
This role is responsible for keeping Alia’s Tax Prep running smoothly on a daily basis. You will manage clients, projects, systems, marketing execution, and follow-up — ensuring nothing falls through the cracks and everything moves forward.
You will wear many hats: client manager, project manager, admin, marketing support, and sales support. If something needs to get done, you make sure it happens.
Key Responsibilities
Client & Operations Management
• Own all active client files from onboarding to completion
• Ensure tax, bookkeeping, and planning work is completed on time
• Follow up relentlessly for missing documents, signatures, and payments
• Communicate clearly and professionally with clients
• Maintain accurate records inside the CRM and internal systems
• Ensure every client feels supported, informed, and taken care of
Project & Workflow Management
• Track all projects and deadlines inside Monday and GoHighLevel
• Coordinate between internal tea
• Ensure nothing is late, forgotten, or dropped
• Identify bottlenecks and fix them
Marketing & Lead Support
• Post content on Instagram and TikTok
• Create social media graphics in Canva
• Build or update lead magnets, funnels, and automations
• Manage GoHighLevel workflows and follow-ups
• Help ensure marketing is consistent and effective
Sales & Revenue Support
• Follow up with leads
• Help book consultations
• Identify upsell opportunities (tax planning, bookkeeping, payroll, advisory)
• Support closing when needed
• Commission opportunities available if you help generate revenue
