We are looking for an experienced Virtual Assistant / Scheduling Coordinator to support an Australian electrical services business.
Our main priority is finding someone with strong experience organising and coordinating the daily schedule of electricians, technicians or other field-based teams.
Previous experience in the electrical industry would be highly regarded. Experience using Ascora is an advantage, but it is not essential for the right candidate with strong scheduling and industry experience.
Key Responsibilities
You will be responsible for:
• Managing and coordinating the daily work schedule of multiple electricians and apprentices
• Allocating jobs according to technician skills, availability, location and job requirements
• Confirming bookings and appointment times with customers
• Coordinating site access, materials, equipment and other requirements before jobs commence
• Monitoring the schedule throughout the day and adjusting jobs when delays, urgent work or cancellations arise
• Communicating schedule changes clearly with electricians, apprentices and customers
• Managing new customer enquiries and ensuring they are followed up
• Creating and maintaining accurate customer and job records
• Preparing draft quotes and estimates for review
• Following up missing job information, paperwork, photos and other documentation
• Reviewing completed jobs and preparing them for invoicing
• Following up outstanding tasks and ensuring jobs continue moving through the workflow
• Providing general administrative and operational support to the team
What We Are Looking For
Strongly Preferred
• Proven experience scheduling and coordinating a team of electricians, technicians, tradespeople or field workers
• Previous experience working with an electrical contractor, trades business or field service company
• Strong understanding of how field service scheduling works
• Ability to prioritise urgent jobs and reorganise schedules when circumstances change
• Strong organisational and time-management skills
• Excellent written and spoken English
• Confidence communicating with customers, tradespeople and suppliers

• Proactive approach to following up outstanding items
• Ability to work independently and take ownership of the schedule
Advantage
• Previous experience using Ascora
• Experience with other job management or field service software
• Previous experience as an electrician, electrical administrator, service coordinator or scheduler
• Knowledge of electrical terminology and workflows
• Experience with generators
• Experience with industrial electrical work
• Experience preparing quotes or reviewing completed jobs prior to invoicing

You are highly organised and comfortable managing a busy and constantly changing schedule.
You understand that in a trades environment, plans can change quickly. An urgent job may come in, a technician may be delayed, materials may not arrive on time or a job may take longer than expected.
You are confident making sensible scheduling adjustments, communicating changes to the people involved and ensuring customers are kept informed.
You are also proactive. Rather than waiting to be reminded, you follow up missing information, paperwork and outstanding tasks to keep jobs moving.
