ABOUT US

We are a growing events and entertainment company based in Melbourne, Australia. We run character appearances, kids parties, school shows and corporate events. The business is busy, the inbox is full, and the owner can no longer keep up with it on his own.

We are looking for a Virtual Assistant who can take over the day to day communication with our clients and our new leads, keep our CRM tidy, and make us look good on social media.

This starts at 10 hours per week. If you are great, it grows into a full time, long term role. We are not looking for someone to fill a gap for two months. We are looking for someone who is still with us in three years.

WHAT YOU WILL DO

- Answer client emails about existing bookings: confirmations, timings, changes, arrival details, invoices
- Answer emails from new leads quickly and warmly, and follow up until they book or tell us no
- Work inside our CRM: log every lead, keep statuses current, set follow up reminders, never let a lead go cold
- Reply to WhatsApp messages from clients and leads
- Reply to comments and DMs on our social media accounts
- Sales: follow up on quotes, ask for the booking, and help us convert more of the enquiries we already get
- Create graphic assets in Canva: social posts, stories, reel covers, email headers and simple promotional graphics

WHAT WE NEED FROM YOU

- Excellent written English. You will be writing to Australian customers every day, in our voice, without someone checking every message
- Real experience answering customer emails and messages for a business
- Comfortable inside a CRM. If you have used one before, tell us which one
- Strong Canva skills. Not "I can use Canva", but "here is a folder of work I made in Canva"
- A sales instinct. You are not shy about following up, and you like closing
- Reliable internet, a computer that does not freeze, and a quiet place to work
- Able to overlap with Melbourne, Australia business hours for part of your day

NICE TO HAVE

- Experience in events, entertainment, hospitality, or any booking based business
- Basic vertical video editing for reels
- Experience with an email marketing tool

HOURS AND PAY

- Start: 10 hours per week
- Day shift, not a graveyard shift. Melbourne business hours are roughly 7am to 3pm Manila time
- Pay: 3 to 4 USD per hour, depending on experience
- Growth: hours increase over time toward full time for the right person
- Long term role, paid monthly, with a real path to more responsibility
