We are a U.S.-based integrated law and wealth management firm serving families, retirees, and real estate owners. Our work combines estate planning, financial planning, tax coordination, and long-term care planning, with a strong emphasis on education, clarity, and long-term client relationships.
We are expanding our marketing, education, and client engagement initiatives and are looking for a high-quality Virtual Assistant based in the Philippines to help us execute and scale these efforts.
This is a long-term role with growth potential for the right person.
Position Overview
We are seeking a Virtual Assistant / Client & Marketing Operations Specialist who is highly organized, communicates exceptionally well in English, and is comfortable speaking with clients on the phone.
This role is part administrative, part marketing execution, and part client communication. You will work closely with the firm’s leadership and play a key role in helping us deliver consistent, professional client experiences.
Key Responsibilities
Client Communication & Phone Support
• Answer inbound phone calls professionally in English
• Make outbound calls to clients and prospects (appointment confirmations, follow-ups, reminders)
• Respond to basic client inquiries and route complex questions appropriately
• Maintain a friendly, calm, and professional phone presence
CRM & Client Data Management
• Help build, organize, and maintain our CRM system
• Input and update client and prospect information accurately
• Track client interactions, seminar attendance, and follow-ups
• Assist with workflows, reminders, and segmentation
Administrative & Operational Support
• Calendar management and appointment scheduling
• Document preparation and organization
• General administrative support as needed
Required Skills & Qualifications
• Excellent spoken and written English (clear, confident, professional)
• Comfortable speaking with U.S.-based clients by phone
• Prior experience as a virtual assistant or administrative professional
• Strong organizational and time-management skills
• High attention to detail
• Comfortable learning new software and systems
• Reliable internet connection and quiet workspace
Preferred Skills
• Experience working with U.S. law firms, financial advisors, or professional services
• CRM experience (HubSpot, Salesforce, Zoho, Redtail, Wealthbox, or similar)

• Canva or basic design experience
• Experience scheduling or confirming appointments by phone
Work Schedule & Compensation
• Full-time (40 hours/week)
• Overlap with U.S. Eastern Time preferred
• Competitive hourly or monthly pay (based on experience)
• Paid trial period
