JOB OVERVIEW

SJV Cleaning is Adelaide’s highest-rated commercial and residential cleaning company, known for professionalism, reliability, and attention to detail. We are now seeking a proactive, intelligent, and detail-oriented Virtual Assistant to join our team and support daily operations.

This is a long-term role with the opportunity for growth if you prove yourself capable.

You need to be incredibly responsive during work hours to be suitable for this role.

Key Responsibilities

Respond promptly and professionally to client emails and enquiries.

Schedule and confirm appointments, manage calendars, and support cleaners with job coordination.

Create and send quotes and invoices in Xero, reconcile transactions, and maintain accurate financial records.

Draft and follow up on quotes (3-day and 7-day follow-up sequences).

Monitor and follow up overdue invoices and unpaid accounts.

Update client and job information in our CRM (Connecteam/Zoho).

Manage records and prepare reports in Excel (profit & loss, margins, tracking spreadsheets).

Prepare and execute email campaigns, using Canva for simple designs.

Assist with staff accountability (checking tasks ticked off, following up missed items).

Provide general administrative support and operational coordination.

Essential Skills and Requirements

Proficiency in Xero (invoicing, reconciliation, reporting, P&L).
Advanced Excel/Google Sheets (formulas, sorting/filtering, reporting).
Fluent English – excellent grammar, spelling, and email etiquette.
Proven VA/Admin experience – ideally with a cleaning company or service business.
Ability to respond instantly during Australian business hours.
Experience with CRMs (Connecteam/Zoho preferred).
Canva, Microsoft Office, and Google Workspace skills.
Strong initiative, problem-solving ability, and attention to detail.

Three cleaners can finish a job in 6 hours. How many cleaners would be needed to finish the same job in 2 hours? Show your reasoning.

2. Prioritisation
Rank these tasks in order of importance and explain why:

Respond to a client complaint email.

Create invoices for the week.

Send tomorrow’s cleaning schedule to staff.

Reconcile transactions in Xero.

Update the task tracker.

3. Invoice Dates
If an invoice is dated 1 April 2025 and needs to be updated monthly, what are the next four dates it should be issued?

4. Reconciliation Problem
If you are struggling to reconcile a payment in Xero and don’t know which client it belongs to, where would you look first to find the answer?

5. Client Complaint Scenario
A client emails:

“Your cleaners forgot to vacuum under the desks again. This is the third time I’ve had to remind you. I’m really disappointed.”
Write a professional reply, and explain what steps you would put in place to prevent this issue happening again.

6. Staff Accountability
One cleaner regularly forgets to tick off items in the cleaning checklist, causing confusion with clients. How would you handle this situation?

7. Initiative
Sebastian sends you a message saying: “Check on Goodwood.” What steps would you take to figure out exactly what needs to be done before asking him?

8. Attention to Detail
You are preparing a weekly financial report, but the numbers don’t add up. What would you do before sending it?

9. Improving Systems
Multiple clients keep asking the same questions about invoices each month. What could you do to reduce these repetitive queries?

10. Written Communication
Write a short email (3–5 sentences) introducing yourself as SJV Cleaning’s VA to a new client.
