Role Overview:
You are responsible for converting inbound interest into booked trial students.
This is not a passive admin role. Your job is to actively contact leads, get them on the phone, and schedule them into our program.
You are the first impression of our school. Energy, clarity, and follow-through matter.
Primary Responsibilities:
1. Lead Contact & Appointment Booking (Core KPI)
Your main job is to get qualified parents to show up for a trial class.
You are not responsible for selling memberships.
You are responsible for:
• Contacting leads immediately
• Getting them on the phone
• Booking the appointment
• Getting them to show up
If you do this well, the business grows.
2. Follow-Up & Recovery
Follow up with all unresponsive leads (call + text +
Re-engage no-shows and reschedule them
Maintain consistent follow-up until a clear outcome is reached
3. Appointment Confirmation
Send confirmation texts/emails after booking
Verify appointments prior to scheduled time
Reduce no-show rate through proactive communication
Your Goal
Turn interested families into scheduled trial students
Maximize show rate and minimize no-shows
Represent KarateMN with professionalism, energy, and confidence
Secondary Responsibilities (Support Tasks)
Track key metrics (leads, booked appointments, show rate)
Follow up with inactive or missing students
Send reminders for events, graduations, and special classes
Update and maintain CRM accuracy
Light social media posting
Basic flyer or announcement design (Canva or similar)
Required Skills (Do Not Apply Without These)
Strong spoken English (clear, confident, conversational)
Comfortable making high volumes of phone calls daily
Friendly, assertive, and able to guide conversations
Reliable internet and quiet working environment
Highly organized and detail-oriented
Technical Competency
You must be comfortable using:
Google Calendar
CRM systems
Calling and texting platforms
Basic spreadsheets
Preferred (But Not Required)
Appointment setting or sales experience
Customer service background
Experience working with parents or kids-focused businesses
Social media or Canva design skills
Performance Expectations
Speed: New leads contacted quickly (ideally within 5 minutes)
Conversion: Leads ? booked appointments
Show Rate: Appointments that actually attend
