JOB OVERVIEW

About Us:
We are a growing apartment locating team serving renters across Texas's major metros — San Antonio, Dallas-Fort Worth, Austin, and Houston. We help clients find apartments that fit their unique situations. We're looking for a reliable, detail-oriented Virtual Assistant to support our team with building a liat of apartments for our clients.

This is a legitimate, long-term position with a stable U.S. team. We're looking for someone who wants to grow with us — not a short-term gig.

What You'll Be Doing:
This is a data entry, administrative support building apartmemt lists for clients. Your core responsibilities include:

- Review incoming client information — including their desired area, budget, move-in timeline, and any credit, rental history, or background details
- Cross-reference our resources to identify and verify properties that match the client's criteria, including pricing and availability, then enter the verified communities into our list-building platform to create the client's official apartment list
- Generate a shortcode link for the completed list and deliver it to our agent.
- Monitor Slack for requests from our team to modify or update tours, reschedule appointments, or handle other needs — respond within 15–30 minutes
- Keep records organized and flag any discrepancies or questions to the team

Important — Scope of This Role:

This role does not involve advising, or making recommendations to clients. If something doesn't look right or you have a question, you bring it to us.

Who We're Looking For:

- Fluent in spoken and written English (REQUIRED — you will be making phone calls to U.S. apartment communities)
- Confident and professional on phone calls with U.S. businesses
- Detail-oriented and accurate — clients depend on the work you produce
- Able to follow a clear, repeatable process consistently without cutting corners
- Comfortable working with maps, spreadsheets, and online platforms
- Quick to learn new software
- Reliable and self-motivated — able to manage a queue of tasks efficiently
- Patient with repetitive tasks and committed to accuracy
- Responsive and flexible when last-minute changes come through
- Able to problem-solve when community websites have different booking processes

Experience with SmartApartmentData and/or GoHighLevel is a strong plus. These are core tools in our daily workflow, so candidates with hands-on experience in either platform will have a significant advantage.
Also a Plus:

- Experience supporting a US-based real estate or apartment locating team
- Background in data entry, virtual assistant, or administrative roles
- General understanding of rental screening concepts (credit, background, eviction history)
- Experience with Google Maps or route optimization tools

Response Time Expectations:

- Slack messages from our team: Respond within 5–10 minutes during your shift.


Requirements:

- Stable internet connection
- Quiet workspace suitable for phone calls
- Must be available to work Monday–Friday 9:00 AM – 5:00 PM CST.
- Must be fluent in English and comfortable making phone calls to U.S. apartment communities


Compensation:
$4.5/hr USD to start. Pay increases as your responsibilities grow. This is a long-term role with room to take on more as you prove yourself.

Training and Onboarding:
Fully paid training will be provided during your first week, including video walkthroughs of all systems, processes, tools. We'll set you up for success before you start working independently.
